Position Overview:
We are seeking a proactive and detail-oriented Office Coordinator to join our team. The Office Coordinator will play a crucial role in ensuring the smooth daily operations of our office environment. This position requires a blend of administrative and clerical tasks aimed at supporting the team, exceptional organizational abilities, a customer-centric approach and enhance the overall efficiency of the office environment.
Here’s what a typical day might look like for you:
- Phone Support – answering phone calls and assisting providers in a timely manner.
- Administrative Support- Provide admin support to office staff, including invoicing queries and guidance. Provide high quality support to the management team. Processing specialised invoices and completing NDIS specific tasks.
- Office Management- Overseeing the maintenance of the office facilities & office equipment. Coordinate with IT support any technical issues.
- Events- Assist in planning and organising any office events, and meetings.
- Coordination – Assist in the preparation and coordination of department projects.
Key Responsibilities:
- Efficiently manage inbound calls and inquiries, providing assistance as needed.
- Process general and specialised invoices into CRM system.
- Assist with complex problem solving for clients and provider.
- Email correspondence with clients and providers
- Aid team members in invoice and client queries.
- Coordinate and schedule meetings, and appointments.
- Act as the first point of contact for callers, providing excellent customer service.
- Assist with the onboarding process for new hires, including preparing workspaces and necessary documentation fostering a positive workplace culture.
- Maintain and update company databases.
- Handle incoming and outgoing correspondence, and drafting routine correspondence.
- Assist with event planning and coordination for company meetings and special events.
- Manage office supplies.
Requirements:
- Proven experience as an Office Coordinator, Administrative Assistant, or similar role.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- High level problem-solving skills
- Strong organizational and multitasking skills, with the ability to prioritize tasks.
- Excellent verbal and written communication skills.
- Attention to detail
- A proactive approach to work, with the ability to take initiative and work independently.
- A team player attitude with a customer service mindset.
- Knowledge and experience in invoice processing is preferred
- Knowledge and experience of the NDIS is preferred
The Ideal Candidate:
- Experience in a front-of-house or Office Coordinator role within a corporate organisation
- Self-starter with excellent communication and decision making skills. Successful candidates will enjoy working in a fast paced environment and will actively contribute to the growth of the company.
- Excellent communicator with strong interpersonal skills.
- Intermediate knowledge of Word, Excel, and Outlook.
- A natural problem solver with a pro-active attitude.
- Ability to pivot to the changing needs of the business and multitask.
Preferred Qualifications:
- Previous experience in the disability sector.
- Familiarity with office management procedures and basic accounting principles.
