Role purposeThe key purpose of the Program Lead role is to is to drive and facilitate a successful organisational transformation through Project Optimus, by providing leadership, strategic direction, and effective management throughout the entire process. This project is the optimisation and transformation of our end to end Leasing function
Please note: This role is a 24 month fixed term contract.
Key ResponsibilitiesStrategic planning:
- Align the transformation program with the overall strategic vision of the organisation
- Create and maintain a roadmap for the transformation program
Team leadership:
- Build and lead a project team, providing clear roles and responsibilities
- Lead and inspire cross-functional teams to implement transformative initiatives, ensuring seamless integration of technology solutions with broader business transformation goals
- Foster a collaborative and goal-oriented team culture
Stakeholder management:
- Identify and engage key stakeholders involved in or impacted by the project.
- Communicate project goals, progress, and potential impacts to stakeholders.
- Identify and engage with key stakeholders, including executives, department heads, and employees.
- Communicate the vision, objectives, and progress of the transformation program.
- Manage expectations and address concerns to ensure stakeholder buy-in
Scope definition and management:
- Clearly define the scope of the project, including deliverables and objectives
- Manage scope changes and ensure they align with overall program objectives
- Collaborate with key stakeholders to define and refine program scope, goals, and deliverables to realise short and long term benefit
Manage risks:
- Identify potential risks associated with the project.
- Develop and implement risk mitigation strategies.
- Regularly assess and update the risk management plan
Resource management:
- Allocate resources effectively to meet project goals
- Monitor and manage project budgets, timelines, and other resource
Provide quality assurance:
- Implement quality assurance processes to ensure the project delivers high-quality outcomes.
- Regularly review and assess project components to identify areas for improvement
Manage change:
- Work with the broader transformation team to implement change management strategies specific to the project.
- Address resistance to change within the project team and relevant stakeholders
Track and report progress:
- Establish key performance indicators (KPIs) for the project.
- Monitor project progress and report on key metrics to stakeholders.
- Regularly assess and report on the program's performance against these metrics.
- Use data-driven insights to make informed decisions and adjustments
Communication:
- Develop a communication plan to keep the project team and stakeholders informed about project status and changes.
- Foster transparent and effective communication channels within the project team
Problem solving:
- Identify and address challenges and issues that arise during the project.
- Implement solutions and escalate issues as necessary
Continuous improvement:
- Gather feedback from the project team and stakeholders for process improvement.
- Encourage a culture of continuous improvement within the project team
Close and review:
- Full handover to business owner and agreed project closure, including documentation and knowledge transfer.
- Conduct a project post-implementation review (PIR) to capture lessons learnt and areas for improvement
- Share PIR learnings to embed in Vicinity project best practices
