Job description

Role purpose

The key purpose of the Program Lead role is to is to drive and facilitate a successful organisational transformation through Project Optimus, by providing leadership, strategic direction, and effective management throughout the entire process. This project is the optimisation and transformation of our end to end Leasing function

Please note: This role is a 24 month fixed term contract.

Key Responsibilities

Strategic planning:

  • Align the transformation program with the overall strategic vision of the organisation
  • Create and maintain a roadmap for the transformation program

Team leadership:

  • Build and lead a project team, providing clear roles and responsibilities
  • Lead and inspire cross-functional teams to implement transformative initiatives, ensuring seamless integration of technology solutions with broader business transformation goals
  • Foster a collaborative and goal-oriented team culture

Stakeholder management:

  • Identify and engage key stakeholders involved in or impacted by the project.
  • Communicate project goals, progress, and potential impacts to stakeholders.
  • Identify and engage with key stakeholders, including executives, department heads, and employees.
  • Communicate the vision, objectives, and progress of the transformation program.
  • Manage expectations and address concerns to ensure stakeholder buy-in

Scope definition and management:

  • Clearly define the scope of the project, including deliverables and objectives
  • Manage scope changes and ensure they align with overall program objectives
  • Collaborate with key stakeholders to define and refine program scope, goals, and deliverables to realise short and long term benefit

Manage risks:

  • Identify potential risks associated with the project.
  • Develop and implement risk mitigation strategies.
  • Regularly assess and update the risk management plan

Resource management:

  • Allocate resources effectively to meet project goals
  • Monitor and manage project budgets, timelines, and other resource


Provide quality assurance:

  • Implement quality assurance processes to ensure the project delivers high-quality outcomes.
  • Regularly review and assess project components to identify areas for improvement

Manage change:

  • Work with the broader transformation team to implement change management strategies specific to the project.
  • Address resistance to change within the project team and relevant stakeholders

Track and report progress:

  • Establish key performance indicators (KPIs) for the project.
  • Monitor project progress and report on key metrics to stakeholders.
  • Regularly assess and report on the program's performance against these metrics.
  • Use data-driven insights to make informed decisions and adjustments

Communication:

  • Develop a communication plan to keep the project team and stakeholders informed about project status and changes.
  • Foster transparent and effective communication channels within the project team

Problem solving:

  • Identify and address challenges and issues that arise during the project.
  • Implement solutions and escalate issues as necessary

Continuous improvement:

  • Gather feedback from the project team and stakeholders for process improvement.
  • Encourage a culture of continuous improvement within the project team

Close and review:    

  • Full handover to business owner and agreed project closure, including documentation and knowledge transfer.
  • Conduct a project post-implementation review (PIR) to capture lessons learnt and areas for improvement
  • Share PIR learnings to embed in Vicinity project best practices

Strategic Vision: The ability to develop and communicate a clear vision for the program, aligning it with the organisation's strategic objectives

Leadership Skills: Strong leadership qualities, including the ability to inspire and motivate teams, make tough decisions, and lead by example

Change Management Expertise: Experience in designing and implementing effective change management strategies to address resistance, promote a positive culture, and ensure a smooth transition

Program Management Skills: A solid understanding of program management principles, including planning, execution, monitoring, and adaptation. This includes the ability to manage multiple projects and initiatives within the broader transformation program

Stakeholder Management: Proven skills in identifying and managing stakeholders, including executives, employees, customers, and external partners. Effective communication and relationship-building are critical

Strategic Thinking: The capability to think strategically, analyse complex situations, and develop innovative solutions to drive organisational transformation

Financial Acumen: A strong understanding of financial management, budgeting, and resource allocation. This includes the ability to optimize resources and manage costs effectively

Risk Management: Experience in identifying, assessing, and mitigating risks associated with the transformation program. The ability to navigate uncertainties and make informed decisions

Problem-Solving Skills: Strong analytical and problem-solving skills to address challenges and obstacles that may arise during the transformation process

Collaboration and Team Building: The ability to foster a collaborative and inclusive team environment, bringing together individuals with diverse skills and perspectives

Communication Skills: Excellent communication skills, both verbal and written, to effectively convey the vision, progress, and impact of the transformation program to various stakeholders

Results Orientation: A focus on achieving measurable outcomes and benefits, connecting the transformation efforts to tangible improvements in organisational performance

Industry Knowledge: Familiarity with retail property management, including understanding market trends, competition, and regulatory considerations

Adaptability and Flexibility: The capacity to adapt to changing circumstances, learn from experiences, and adjust the transformation strategy as needed

Experience with Technology: Familiarity with Salesforce, ERP systems, document generation and management tools is essential

Previous Transformation Experience: Prior experience leading successful organisational transformations or change initiatives is essential

Education and Certifications: A relevant educational background, such as a degree in business, management, or a related field, and certifications in program or project management

Customer Focus:  You are customer focussed and put customers at the heart of your activities and decisions. 

Innovation:  You identify new ideas and transform them into new products, services and processes that drive commercial outcomes through a shared strategic vision.
