Job description

We are seeking a highly motivated and experienced Program Manager to join our language services team. In this role, you will be responsible for coordinating a translation service for the aged care sector, with a focus on delivering excellent client service to aged care providers.

You will be the first point of contact for organisations requesting translations, helping them to understand the program and coordinating the process with our in-house translation management team to deliver an efficient and valuable service. You will also set goals, monitor progress, and report on project performance.

You will have strong collaboration, problem solving, and relationship-building skills with diverse groups of people.  You will also develop and implement strategies to  promote the service by establishing and nurturing relationships with stakeholders and providers.

About us

At Think HQ, we believe that good communications can change the world. And that all starts with a thoughtful, strategic approach.

We unapologetically seek out work that will have a genuine positive impact. We all know where we are headed, and we’re united by our mission to make change. Our growth is underpinned by our values.

We’re a diverse bunch; ex-journos, filmmakers, social researchers, PR professionals, community engagement specialists, writers, animators, designers, and strategists who love what we do.

We're a genuinely collaborative, full-service communications agency. Our skills are diverse, but we’re all united by our passion for projects that deliver positive outcomes for people, places and the planet.

We value inclusion and diversity – it’s the reason we can do the work we do. We welcome and actively encourage applications from people of all ages, abilities, and cultures, including Aboriginal and Torres Strait Islander peoples, LGBTIQA+ people, people from our multicultural communities, or who speak a language other than English, people with disabilities, older Australians and parents returning to the workforce.

As we continue to rapidly grow our team and our offering, and commit to building Australia’s most inclusive communications agency, it's an exciting time to join the Think HQ Group!

Responsibilities

Some of the things you’ll be doing in this role include:

Client service

  • Act as the first point of contact - via phone and email - for providers seeking to access the translations service
  • Liaise with the service funder and maintain a strong working relationship with their representatives
  • Liaise with clients to review materials and develop accurate and thorough briefs that meet the program eligibility requirements
  • Provide advice about the translation service and process to support clients
  • Maintain open and timely written and verbal communication with clients throughout the translation process.

Service coordination

  • Maintain data and record keeping for all requests on the project management platform
  • Develop quotes for requests and manage approvals as required
  • Liaise with our in-house translation management team to ensure translation requests are understood and delivered in a timely manner to a high quality
  • Deliver monthly and quarterly reporting on service utilisation using data from the project management and finance platforms
  • Attend Work in Progress meetings and document actions and notes for the broader team
  • Identify ongoing opportunities to make improvements to the service and develop recommendations.

Stakeholder engagement

  • Develop and maintain relationships with stakeholders from the aged care sector and government to promote an understanding of the service.
  • Provide advice and input into the promotion of the service.

About you:

  • You have qualifications or extensive industry experience in program management, communications, or language services.
  • You are a well-presented, self-motivated individual who is bright and enthusiastic with exceptional interpersonal skills
  • You love to develop solutions and problem solve in collaboration with people.
  • You have outstanding written and verbal communication skills coupled with strong attention to detail and organisational skills
  • You are confident using applications such as project management and CRM platforms
  • Ability to multitask and meet deadlines
  • You’re curious and have a keen willingness to learn new things

Don’t worry if you don’t tick every requirement on this list – our priority is a talented and motivated individual with a positive attitude who is willing to learn, grow and collaborate. We’re looking for someone who is a great fit for our team in values and personality.
