Who we are looking for:
We are seeking an experienced Office Administrator to provide proactive assistance and support for the Bay Class In-Service Support Program for allocated vessels. This role involves supporting financial, purchasing, and document control tasks essential to the program.
Major Responsibilities
- Assist the Asset Manager in meeting all reporting obligations to fulfill contractual requirements.
- Identify, collect, record, analyze, and validate data related to overall program performance, and report performance measures to the Commonwealth.
- Prepare, track, and complete Quoting for Survey and quote services.
- Prepare, track, and complete task-priced services.
- Prepare, track, and complete service visit processes.
- Manage, monitor, and update the Government Furnished Material Management Master Stock List
- Prepare, monitor, and submit monthly financial job cost reports to assist with accounts receivable.
- Manage the administrative arrangements for regular formal program reviews, including taking minutes.
- Serve as a contact point for Commonwealth representatives, providing assistance, information, and reports upon request.
- Liaise with subcontractors directly engaged by Teekay to carry out survey and quote services.
- Control all program documentation using SharePoint.
- Monitor and update the Class & Statutory Certificates as required.
- Assist the Asset Manager with any other duties as directed.
Requirements (Knowledge, skillsand Abilities)
- Desirable Qualifications: Business Administration degree or equivalent
- Desirable Experience: 3 years’ experience in a similar role
- Essential Skills:
- Attention to detail;
- Excellent organisation skills;
- Excellent Computer and Software skills, particularly in the Microsoft Suite;
- Strong problem solving skills;
- Comprehensive understanding of the regulatory environment in with the company operates;
- Commitment to continuous improvement.
