Established in 1931 as Brisbane’s main international airport, Archerfield Airport is an Australian icon. It was the birthplace of Qantas’ first international flight, launched the first international mail service to England, facilitated the first west-east Pacific crossing by Sir Charles Kingsford-Smith, and General MacArthur used it as an air force base for US, British and Australian troops during World War II. 

Archerfield Airport Corporation (AAC) is embracing a renaissance of new aviation technology and has made strides in modernising facilities for aircraft operations and logistics providers.  With over 120,000 flights per year and the highest number of helicopter movements of any Australian airport, we were awarded the Australian Airport Association’s Metropolitan Airport of the Year Award in 2021.

About the role

Working closely with the Company Directors and AAC Project team, the Project Administrator is a high-profile role, and a critical contributor to the efficient & quality delivery of various construction & development projects undertaken by Archerfield Airport. The incumbent provides day to day project support throughout the project lifecycle, through a variety of responsibilities e.g. document control, reporting, tenant and contractor liaison, compliance & governance activities, risk identification & control. Liaising with commonwealth, State and Local Authorities including the Airport Building Controller and Airport Environment Officer is an important element of this role also.

AAC is committed to the continuous improvement of the airport’s building application and administration process, and the Project Administrator plays an important part in identifying improvement opportunities.

To be successful in this role, you will bring significant project administration experience, and a thorough understanding of document control procedures.  As each day is varied, it’s essential you can pivot and change directions at times and reprioritize tasks. Ideally you are familiar with different project methodologies, understanding the phases and associated deliverables of each phase.  You will be confident in your communication and able to communicate with a variety of stakeholders, government representatives, Airport Tenants and contractors.

The ideal candidate will be ready to hit the ground when they start, although we will provide a comprehensive handover from the current Project Administrator, and training where required.

What you will be doing

The variety in this role makes each day different and exciting, the tasks and responsibilities are wide-ranging and present opportunities to continually learn and develop. 

The following responsibilities are a snapshot of this role:

  • General Project Administration: Working with the project team and stakeholders to provide wide-ranging day to day project support, including document control, reporting, liaising with contractors and various parties, administering project compliance & governance tasks, attending meetings
  • Tenant Building Activities: Provide support to AAC tenants building projects through training on ABCO (Airport Building Control Online), reviewing submissions and applications for building development etc.
  • Quality Control: Develop strong understanding of AAC’s building application process and contribute to continuous development of the process; support the project team to ensure timelines are monitored and met consistently.
  • Compliance & Reporting:  Manage internal communications/reporting on project related activities; attend PCG meetings and take minutes; ensure tenants are operating within ABC Guidelines and AAC building application processes. 
  • Stakeholder Management:  Build and maintain strong relationships and collaborative partnerships with consultants, contractors, tenants, suppliers & project team.
  • Executive Support: Provide day to day support to the Company Directors in a wide range of tasks as required.
Experience & skills 
  • Must have previous project administration experience, preferably in construction & development (though not essential)
  • Thorough understanding of and experience in documentation control protocols
  • Strong initiative and problem-solving skills; able to troubleshoot and resolve problems & issues
  • High attention to detail, ensuring accuracy and thoroughness in all aspects
  • Skilled at planning & organisation, able to manage time efficiently, prioritise tasks and deliver on time
  • High level of competency with the Microsoft suite of products including Sharepoint and Teams.
Qualifications:
  • Project related certifications/qualifications would be highly regarded
