ABOUT THE ROLE
TransAlta owns and operates and maintains 6 Power Stations in Western Australia. With a 25-year history in the State, we provide safe, clean and reliable power to large mining and industrial customers and have invested significantly in stable, long-term contracts. TransAlta is entering an exciting phase in our Australian business as we expand with our customers and develop multiple renewable projects within Western Australia.
The Project Administrator will play a crucial role in ensuring the successful execution and coordination of various projects and administrative activities to support the growth team, while facilitating smooth communication, documentation, and organization throughout project processes.
This role will be the contact point for the growth team on critical information requirements.
Another key responsibility in this role will be to coordinate with base business in establishing and improving a centralized process to provide customer service support for growth team, in relation to tasks such as but not limited to travel, outage co-ordination, EH&S, work management, and accounts payable support.
WHAT YOU WILL DO
Project Administration:
  • Management of Technical Deliverables of the Execution Project through detailed understanding of the Project Requirements (Regulatory, Commercial, Performance and Functional) and engagement with specialist engineering contractors / consultants / OEMs.
  • Responsible for coordinating project activities, managing schedules, timesheets, assignments, action plans, risks, costs, hours, and other relevant resources for projects and ensuring project deliverables are completed on time and within budget.
  • Establish direction and solutions for business improvements related to process changes and tool enhancements and communicate those across the business (change management).
  • Accountable to monitor, track, and report monthly on all Capital project costs (ensure actuals, incurred costs, forecast costs, and accruals are correctly identified - provide details of variances) and report areas of concern.
  • Assisting with procurement and accounting activities including goods receipt, invoice review, creating requisitions, etc.
  • Accountable for receiving and processing Requests for Information, or RFIs, from employees or clients and maintaining the requests via tracking logs.
  • Instil consistency throughout all filing, numbering systems, and the Document Management Systems.
  • Assist other contractors with the evaluation of all contract documents and preparing reports for any deficiencies in the project.
  • Schedule and coordinate meetings, workshops, demos and training sessions for the project team and stakeholders.
  • Collaborate with other departments and ensure compliance to all timeframes.
  • Serve as a central point of contact for project-related inquiries, distributing information to relevant team members and stakeholders.
  • Prepare meeting agendas, distribute materials, and document minutes for key project meetings as required.
  • Fulfill role as Management of Change Administrator
  • Support the growth team with other administrative duties and processes.
Document Control:
  • Apply document management principles, practices, and technical standards in alignment with the base business to define and implement the document control process for the management of all technical, TSMS and general business documents for the growth team.
  • Accountable to set up and manage company documents while also ensuring their accuracy, quality, and integrity, ensuring appropriate formatting and develop and maintain document standards that align with industry and site requirements. This includes scanning, imaging, organizing, and maintaining documents, adhering to the company's document lifecycle procedures, and archiving inactive records in accordance with the records retention schedule.
  • Accountable to adhere to record retention policies, safeguard information, assist with file migrations and audits.
  • Provide support as a contact for user assistance/searching/researching in the DMS system.
  • Electronically file all transmittals, drawings/documentation received.
  • Manually store all original stamped hard copies of drawings and certifications
  • Onboard and manage external transfers for vendors
  • Manage and facilitate document requests, reviews and submissions
  • Knowledge of advanced Adobe Professional to compile electronic stamped signed (legal) TransAlta documentation i.e. Construction Work Packages, Professional Engineering Reports etc., for distribution and efficient storage
  • Understand dimensioning and the use of plotting equipment, large scale and aperture card scanners
  • Minor drafting in MicroStation or AutoCAD or applicable software as required.
  • Assist IT as required to ensure proper functionality of the ECM (i.e. notification of system problems and testing).
  • Other duties as required.
ABOUT YOU
Our Project Administrator, should meet or exceed the following qualifications and experience:
  • Degree or Diploma from an accredited college or university. Preferred education in Business, or related field. Certification in records management preferred.
  • 5+ years’ experience in a records management environment
  • Experience and knowledge of the Power Industry a definite asset
  • Knowledge of project management software (e.g., Trello or Microsoft Project)
  • Hands-on experience with flowcharts, technical documentation, and schedules
  • Experience with Records and Information Management programs, practices, life cycles and workflows
  • Financial knowledge – estimating, cost tracking and forecasting spending.
  • Proven ability to be flexible, manage multiple demands and meet strict deadlines.
  • Ability to complete multiple tasks and meet deadlines in a fast-paced environment.
  • Good interpersonal and relationship building skills, including ability to work collaboratively with other business areas.
  • Strong organizational, analytical, planning, and exceptional communication and writing skills ensuring quality and efficiency.
  • Demonstrated capability to work with a high degree of professionalism, discretion, and confidentiality; ability to use diplomacy, discretion, and judgment in all aspects of the business.
  • Proficiency in Microsoft Office Suite
  • Attention to detail: the ability to understand and classify information according to functional location; categorize information electronically with a solid understanding of numbering systems and divisions.
