In the role of Project Administrator, you will play a pivotal role in ensuring that our Project Managers can deliver on projects across the David Jones network with a specific focus on our store refurbishment program that is already well underway. Reporting directly to the Head of Store Projects and Business Initiatives, you will be responsible for all administrative tasks associated with the projects that the wider team are working on.
Based in Melbourne with a hybrid mix of time in the office and from home, this role will suit a commercially astute and collaborative individual who understands the importance of the work they do and can coordinate a team that is consistently on the move.
Please note that this role is a fixed-term contract for a 12-month period, however there may be opportunity for this position to be made ongoing.
What does the role involve?
- Invoicing and creating Purchase Orders
- Administration and reporting for the Project Master Program
- Manage various team calendars across the wider projects team and coordinating travel
- Attending meetings and taking minutes
- Compiling Requests for Tenders (RFT) and managing the RFT process
- Liaising directly with internal and external stakeholders such as contractors and banks
- Other ad hoc administration tasks to provide support the wider team
- Demonstrated experience in a similar administration role, preferably within Construction or Retail
- Strong interpersonal and communication skills to build relationships with internal and external stakeholders
- A proven ability to work within a team and autonomously when needed
- A track record in prioritisation and meeting conflicting deadlines
- Intermediate-to-Advanced MS Excel skills (Formulas, Pivot Tables & V Lookups)
- Proven experience working with the Microsoft 365 suite of applications including SharePoint and OneDrive
- Experience working with Oracle or SAP would be highly desirable, however not essential
