Civcon Civil & Project Management is a Western Australian Civil Construction and Project Management Company seeking experienced Project Administrators to join the team on a permanent full-time basis. Our Opportunity
Due to continuing growth, we require Project Administrators who are willing to work in a site office environment within the Perth Metropolitan area. This position works closely with the Project Team by providing timely and effective administration support to ensure the success of our projects.
We are looking for Project Administrators who are willing to learn our systems, processes and procedures and be part of the team. The right candidates will have the opportunity to grow within their skillset and business.
Your Responsibilities
The main responsibilities of our Project Administrators include but are not limited to:
- Project start up administration activities including set up of project folders, Site Diary, induction registers, safety notice board;
- Ensuring all Site familiarisation inductions are completed for all employees, subcontractors and visitors on site;
- Assist the Site Manager / Supervisor to ensure all resources / site activities and associated cost codes are entered into the Site Diary on a daily basis, including recording labour, plant and subcontractor resources;
- Collating all daily time sheets and issuing to Accounts Team on a weekly basis;
- Raising purchase orders, management of delivery dockets in the system;
- Review and processing of project invoices for management approval, including managing invoice queries with suppliers / subcontractors;
- Tracking status of purchase orders in the system for EOM reporting;
- Maintain effective and efficient hard and soft filing systems;
- Reporting to the Commercial Manager on project specific requirements;
- General administration duties such as but not limited to stationery orders for site office and monitor and maintain printer areas;
- Archiving and close out of project works.
About You and Experience
You will have experience and able to demonstrate capability in the following:
- Minimum of 2 years experience in either Site or Project Administration preferably in the construction industry
- Proficient in Microsoft Office Suite with at least a intermediate level using Excel
- Excellent verbal and written communications skills
- Ability to work in a team environment
- Strong work ethic and excellent attention to detail
- Have a can-do attitude and be self motivated
- Drivers licence essential and own vehicle
- CHEOPS experienced desired but not essential
- Highly organised and the ability to adapt to changing and conflicting priorities
