About the role:
An excellent opportunity has arisen for a highly motivated Project Coordinator to work as part of our operational team supporting various enterprise client projects/managed services onboarding across Australia.
We are looking for a person with a genuine enthusiasm for excellence in customer service and project delivery. Someone that can ensure that projects are delivered on time, within budget and are achieving the required benefits.
The Project Coordinator is an integral part of the project management office (PMO) who will run, administer & organise project activities in cooperation with and under the direction of the Project Manager, as well as assist in reviewing and updating internal documentation/processes.
You will provide full and complete support to the PMO for project delivery and service transitional activities, ensuring that supporting documentation (including, but not limited to, workflow creation, foundational workbooks, reporting, scheduling, meeting minutes, etc) is created and/or maintained throughout a project lifecycle.
You will ensure that all new & existing customers Software as a Service ‘SaaS’, support service requirements and product implementations are delivered on time, within budget and are achieving the required benefits.
Another integral part of the role requires you to provide backup and support to the Professional Services & Products team relating to customer integration projects, building relevant platform knowledge articles to further improve customer delivery capabilities.

Required Skills and Qualifications
To be suitable for this role we require you to have solid experience in the following:
- Proven project administration experience within a project team, working with Project Managers for the implementation & delivery of projects.
- Experience in Telecommunications and IT industries is preferable.
- Experience and/or knowledge of EMM products and capabilities.
- Strong proficiency in MS Word, Excel, Visio, Email software, Power Point and SharePoint
- Ability to perform all duties with high degree of accuracy and confidentiality.
- Excellent interpersonal communication and people management skills
- Ability to perform & contribute within a team environment.
- Basic understanding of project management fundamentals & framework (i.e. PMIBOK)
- ITIL V3 qualifications highly desirable.
- Demonstrated commitment to provide a high level of customer service to a wide range of staff, contacts from external organisations and company partners/vendors.
- Good organisational skills with demonstrated ability to prioritise tasks, meet deadlines and maintain a high level of attention to detail.
- Demonstrated ability to develop and prepare draft procedures for clients or work teams.
- Strong initiative, problem solving and negotiating skills.
Major Duties & Responsibilities
- Responsible and accountable for the successful delivery of all projects across the organisation, delivering within the agreed scope and timescale.
- Coordinate activities, resources, equipment, and information in accordance with the required project plan & milestones.
- To provide support, advice, and assistance to people and/or departments across the organisation managing their own projects
- Liaise with clients to identify and define project requirements, scope, and objectives.
- Ensure project deliverables & milestones are met & that these are aligned to the clients’ scope requirements.
- Assist in the preparation of project proposals, timeframes, milestones, schedule & budget.
- Monitor & track project’s progress and handle any issues that may arise.
- Report & escalate any project issues to management (e.g. Escalate to the Project Manager to ensure the best outcome for the company & client)
- Act as the point of contact and communicate project status adequately to key stakeholders (company internal & client)
- Use & maintain project management tools (i.e. Microsoft Dynamics CRM) to monitor project working hours, budget & milestone plans.
- Assist in the drafting of appropriate project documentation (e.g. statements of work & project change requests etc.)
- Write and distribute project meeting minutes to all key stakeholders and actively follow up on open tasks by all parties.
- Create & maintain comprehensive project documentation, plans, and reports (using various tools such as MS Visio, Word, Excel, Power Point)
- Assist in the creation & maintenance of internal project management work instruction documentation to document best practises & process.
- Reviewing and updating internal documentation/processes/workflows when required.
- To have a good understanding of organisation-wide issues and be able to suggest solutions for resolution.
- To ensure that there is documented 'Certificate of Acceptance' sign off for implemented projects on milestones completed and full project completion.
- To be responsible for maintaining a document storage system that will contain all documentation for all projects which can be readily and easily accessed by anyone in the organisation.
- To research and remain up to date on developments in project management technologies.

Remuneration for the role is based on experience and skills that can be demonstrated within interview process, but within the following guidelines:
Australian Based Employee: 70,000 - 80,000AUD per year + SGL
Philippine Based Employee: 55,000 - 65,000PHP per month + 13th month pay & PR+2D HMO
