Reporting to the Facilities Coordinator you'll work alongside a dedicated and inclusive facilities team as you provide exceptional reception and administrative assistance. You'll cover the reception desk and provide a professional & welcoming environment. You'll offer a warm welcome upon arrival, answer phones and set up meeting rooms, ensuring all guests have a positive experience.
Here's what you'll do:
- Greeting and welcoming visitors with a warm and professional demeanor.
- Answering incoming calls, transferring calls to appropriate individuals, and taking messages when necessary.
- Managing the main reception email inbox and responding to inquiries promptly.
- Handling incoming and outgoing mail, packages, and deliveries.
- Maintaining a neat and organisedized front desk area.
- Coordinating appointments and managing the office calendar.
- Providing general administrative support to various departments as needed.
- Registering and signing in visitors and ensuring security protocols are followed.
- Assisting guests with any inquiries they may have about the premises, facilities, or amenities.
- Notifying employees of visitor arrivals and ensuring a seamless guest experience.
- Communicating with employees regarding visitor arrivals, scheduled appointments, and important announcements.
- Keeping track of staff whereabouts and availability, updating internal directories, and maintaining employee contact lists.
- Scheduling meetings, conference rooms, and appointments using office software or tools.
- Coordinating logistics for meetings, including setting up rooms, arranging for audiovisual equipment, and providing any required materials.
- Updating and maintaining databases, spreadsheets, and other records related to visitors, calls, and appointments.
- Keeping track of office supplies and placing orders when necessary..
- Collaborating with colleagues, departments, and management to ensure smooth operations and effective communication.
You're warm, honest and genuine and well organised You're comfortable communicating at all levels and you're driven to c learn.
- Good computer literacy ideally with experience using MS Office applications (Outlook and Word)
- Excellent listening skills and attention to detail
- A visibly positive and helpful nature
- Are a great communicator, both oral & written
- Smart and well groomed personal presentation
