We are a dynamic Occupational Therapy practice based in Carine. As a specialist practice, we are committed to delivering exceptional and compassionate patient care, and depend on our Administration team to assist with providing a seamless and welcoming experience.
Overview:
As a Receptionist/Administration Assistant, you will play a key role in the smooth operation of our practice. You will be responsible for the day-to-day reception for the practice including telephone calls, taking payments and clinic support. You need to be well organised and be able to perform well in busy situations to ensure that the workflow is smooth and timely and the service to patients is friendly and efficient.
Key Responsibilities:
- Provide a warm, welcoming and mature interface for our patients, confirming appointment details, providing forms and confirming patient information.
- Schedule patient appointments efficiently to optimise therapist time.
- Respond promptly to patient inquiries via phone and email, in a warm and professional manner.
- Manage invoicing and payments from patients; and assist with managing invoicing to various funding bodies.
- Review and distribute incoming correspondence and prepare and despatch outgoing correspondence, including treatment reports, letters, and referrals.
- Order, receive and manage stock of therapy goods.
- Uphold the practice standards of respect and confidentiality.
- Maintain a tidy, safe and organised work environment.
Selection Criteria:
- Previous experience in administration or reception.
- Proficiency in computer systems and relevant software.
- Good organisation and time management skills, with the ability to prioritise tasks effectively in a fast-paced environment, with attention to detail and with a focus on accuracy.
- Excellent verbal and written communication skills.
- Warm and welcoming manner.
- Ability to work independently as well as part of a collaborative team.
