Position Description
The Lane Vineyard is home to an acclaimed restaurant and tasting room with a host of immersive tourism experiences and private functions held on the estate throughout the year.
As the Reservations & Administrative Assistant you will be responsible for all reservations and incoming enquiries to the business via telephone and email. In addition to general administration duties including managing multiple reservation platforms, data entry and general Microsoft office tasks, you will support our functions & experiences manager with wedding setups, client walk throughs and provide assistance in the overall effective and efficient planning of all functions and experiences at The Lane.
This role requires a friendly, approachable, all-rounder with excellent communication skills and plenty of initiative.
Administration
- Answering all incoming phone calls and responding or directing the enquiries as required
- Responsible for all incoming general email communication and responding or directing as required
- Utilising our CRM platform to maintain an accurate database of all clients including members and non-members.
- Assist The Wine Club Coordinator with daily wine club administration such as adding new members, updating existing member details, responding to wine club member enquiries.
- Accurately assist with wine sales enquiries with care and attention to the correct price, department & revenue area as per company policy
- Managing weekly ordering in coordination with the hospitality and administration requirements
- Procuring goods and services for the office
- General administration duties including the use of Microsoft Office, data entry and filing
- General office house-keeping duties
- Provide as-needed administrative support for the management team in particular the Events & Experiences Manager and Wine Club Coordinator
Reservations, Functions & Experiences
- Utilising our online booking platforms including NowBookIt and Rezdy to maintain an accurate list of reservations across all areas of the hospitality business (restaurant, tasting room, experiences, functions & events)
- Provide support for the Functions Coordinator including assisting with incoming enquiries and liaising with new clients and existing bookings.
- Managing third party travel site listings / OTA’s (online travel agents) who sell our experiences. Ensure OTA listings are up to date – including, Viator, Experience OZ, Get Your Guide, Website Travel, Travello, Luxury Escapes and Red Balloon.
- Liaise with group tour planners, coach operators, travel/wine writers, event planners, tour wholesalers, bicycling/auto groups, wine club and sporting associations and others to facilitate their bookings and increase visitation to the estate
