ABOUT THE ROLE
As a Senior Administration & Events Coordinator you will be responsible for an oversight on the co-ordination of all Commerce Ballarat events and office administration tasks.
You will provide support to the team and be required to use initiative and action tasks on behalf of the Office Manager and CEO.
- Prepare, edit, and format a variety of documents ensuring accuracy and professionalism –This includes but is not limited to sponsorship agreements, forms, proposals, reports, presentations, and correspondence.
- Organising and coordinating business events
- Review, update and maintain information on organisation website
- Maintain and update databases, spreadsheets, and other records, ensuring data integrity and confidentiality
- Liaise and build strong relationship with members, event guests, sponsors, venue managers and presenters
- Develop and maintain relationships with key stakeholders and organisation members through email, phone and face to face communication
- Monitoring and or posting on social media channels
- Attend Commerce Ballarat events, network with members and encourage positive interaction
- Assist in coordinating marketing efforts both traditionally and on social media platforms. Additionally, contribute to the planning and execution of social media strategies, including content creation, scheduling, monitoring, and engagement across various digital channels.
- Shared supervision of administration support staff.
- Proficiency in MS Office Suite: Demonstrated experience in utilising MS Excel, MS PowerPoint, and MS Word at an advanced level.
- Adaptability and Technical Aptitude: Ability and willingness to quickly learn and adapt to new software systems, including website software.
- Attention to Detail: Proficient in observing fine details, identifying gaps in information, recognising logical sequences of information, and highlighting practical considerations in plans and activities.
- Initiative and Accountability: Proactive and self-starting individual with a demonstrated ability to seize opportunities, take ownership of tasks, and be accountable for their actions.
- Creative Design Skills: Experience using design software such as Canva or similar programs to create visually appealing content.
- Effective Time Management: Strong ability to prioritise tasks, manage deadlines efficiently, and allocate time effectively to meet objectives.
- Excellent Communication Skills: Demonstrated proficiency in both written and verbal communication, with the ability to convey information clearly and effectively.
