Tasks and Responsibilities
- Preparing weekly and monthly reports.
- Assisting Supervisors/Superintendents in all administrative duties.
- Ensuring mobilisations and site access requests are coordinated smoothly.
- Attending meetings and taking minutes where required.
- Maintaining Personnel records.
- Liaising with internal stakeholders such as Payroll, HR and Accounts.
- Data entry and archiving and scanning.
- Processing employee documentation for onboarding and demob from site in teams and INX records.
- Employee timesheets and absences are entered in accordance with policy.
- Assist with the completion of monthly reports and submission as required.
- Create and issue POs for external services.
- Establish and maintain filing systems.
- Assist other areas and departments in line with business needs.
- Credit card Purchasing and creating purchase orders.
- Liasing with accounts department for invoice reconciliation.
- Organise freight and logistics of new equipment/parts to site.
- Ordering and distribution of PPE and stationary equipment
- Onboarding all new personnel and visitors to site.
- Working with the training department to ensure training requirements are met for all Employees.
- Maintain Onboarding Tracker in Teams.
- Manage employee travel with the team by booking commercial travel and site travel using INX Inflight.
Skills & Experience
- Intermediate or advanced Word & Excel.
- High proficiency in Microsoft Office 365.
- Proven experience in Site Administration.
- Proven understanding of mine site operations.
- High level of attention to detail.
- Ability to prioritise and multi-task.
- Ability to work autonomously as well as part of a team.
- Communicates professionally and effectively to all stakeholders (internal and external).

MDM Mining and Civil is an indigenous owned business operating in the East Kimberley. MDM is a head contractor to Rio Tinto’s Argyle Diamond Mine Closure Project. MDM is undertaking the rehabilitation of the West side of the Tailings Storage Facility.
About the role:
MDM has an opportunity for an experienced Site Administration Officer working a 2:2 roster.
Eligibility:
Candidate must be able to undergo a full pre-employment medical including drug and alcohol screen and able to obtain a National Police Clearance less than 3 months old.
