About the Organisation
The Urban Development Industry of Australia Victoria is the peak industry body for Victoria’s urban development industry. UDIA Victoria is a non-profit advocacy, research and educational organisation engaged to represent the views, interests and needs of our industry members and their employees working in the development, building and construction sector. It’s membership base includes a wide variety of organisations that all contribute to meet Victoria’s housing, employment, and social needs. The UDIA regularly host events that bring industry together to learn, connect, innovate and celebrate.
About the Role
As the Team Assistant, you will support the CEO and Business Development Manager in the membership and event space. You will be a part of a small team that has a very collaborative approach. Your role will include a blend of responsibilities including diary management, general administrative tasks, preparing reports and handling event enquiries and coordination, along with contributing to marketing efforts. Being able to be organised and have a high attention to detail is critical, as most activities will have an interaction with members organisations.
About You
It is expected you will have some exposure to working in a professional office environment and managed a variety of tasks. Exposure to events will be well regarded, with some marketing experience a bonus. Your ability to present and communicate in a polished manner is important, as well as understanding the balance between building meaningful relationships with colleagues and members, balanced with an understanding there are also many tasks that need to be completed to be successful in this role.
Duties
- Diary Management and Administration: Efficiently organise the CEO’s schedule, including appointments, meetings, and travel arrangements.
- Manage the events inbox and handle phone calls for event inquiries.
- Support for Annual Report, Board Elections, and AGM: Aid in preparing the annual report, coordinating board elections, and arranging the Annual General Meeting.
- Event Coordination: Assist in preparation for events and assist at internal events.
- eDMs and Marketing Communications: Construct eDMs for team review and collaborate with the CEO on marketing communication strategies.
- File Management: Maintain shared folders, establishing a standard naming system for streamlined file organisation.
Skills and Experience
- Strong time management and organisational skills, able to handle multiple priorities effectively.
- Proficiency in Canva.
- Resilient and adaptable, with the ability to work in a fast-paced environment.
- Experience using Salesforce.
- An understanding of office management and administrative operations.
Additional information:
- Part time: 3-4 days a week
- 20 – 30 hours a week
- Office preferred but some flexibility to work from home.
