We're in search of a seasoned Administrator to join our dynamic, fast-paced team. As a valuable addition, you'll be stationed at Fortescue's Brisbane office, providing exceptional administrative support to two Directors and collaborating with the Brisbane-based team members.
Key Responsibilities
- Act as a liaison with Contractors, Management, and the wider FFI team
- Efficiently manage calendars/diaries for self, facilities services, and other managers as required
- Organize and schedule meetings, assist in agenda preparation, minute-taking, and follow-up on action items
- Coordinate travel arrangements
- Oversee new starter co-ordination and mobilization
- Handle SAP requisitions and receipting
- Maintain SharePoint, ensuring seamless operations
- Manage document creation, formatting, and electronic storage of correspondence
- Front-of-house responsibilities for the Brisbane Office, including greeting visitors, managing couriers, and overseeing mail distribution
- Supervise facilities management services encompassing stationery stocks, security, and maintenance services
- Serve as the point of contact for building management
- Provide assistance with office setup for the east coast team, as required
- Offer general administrative support as needed
- Experience in a similar building facilities management role is advantageous
- Prior experience in an Executive Assistant role or similar capacity
- Demonstrated professionalism and the ability to maintain confidentiality
- Autonomy, initiative, proactive mindset, and adeptness in handling conflicting workloads
- Intermediate to advanced proficiency in Microsoft Office suite
- Strong written and verbal communication skills
- Industry experience will be highly regarded
