We are seeking a dedicated and charismatic person for the role of Wedding & Events Coordinator at The Trawool Estate. The primary objective of this role is to oversee the execution of our expanding events business across all aspects of our award-winning hotel. Through passion, attention to detail, operational expertise, and an unwavering commitment to elite guest experience, the Wedding & Events Coordinator will play a pivotal role in elevating our status as a premier destination in Victoria, Australia.
This role will involve working in a collaborative environment. We are a driven team that likes to play big, therefore our Wedding & Events Coordinator will have a hands-on approach and will take opportunities to grow and develop the administrative and operational execution of weddings and events.
Key Responsibilities:
Administrative Responsibilities:
- Handling quotes, contracts, and invoices.
- Updating event calendars and spreadsheets.
- Scheduling final meetings with bridal couples.
- Creating wedding day agendas, event orders, floorplans, and menus.
- Managing dietary requirements and upselling additional assets.
- Participating in meetings and managing client bookings.
Operational Responsibilities:
- Booking and conducting wedding site tours.
- Collaborating with hotel departments and attending wedding expos.
- Overseeing operations on wedding days, including guest and vendor management.
- Leading the food and beverage team during service.
Guest Experience Responsibilities:
- Ensuring elite customer service standards and handling guest satisfaction.
- Leading creative development for service offerings and guest relationships.
Sustainability and Brand Awareness Responsibilities:
- Promoting brand awareness and maintaining occupational health and safety standards.
- Upholding a smart casual dress code aligned with the brand.
