As the Accounts & Administration Officer, you will have day-to-day responsibility for operations of accounts receivable, accounts payable, inventory and cash management for a small food processing site in West Footscray.
You will collaborate closely with production, logistics and documentation cross-functional teams to streamline processes, resolve discrepancies, and maintain accurate financial records. Reporting to the Financial Controller, the ideal candidate will possess strong analytical skills, attention to detail, and a proactive approach to problem-solving.
Accounts Receivable:
- Generate and send out invoices to customers in a timely manner.
- Monitor customer accounts for overdue payments and follow up on outstanding balances.
- Reconcile accounts receivable ledger to ensure accuracy and completeness.
- Work closely with the sales team to resolve billing issues and disputes.
- Prepare aging reports and analyse accounts receivable aging to identify trends and potential risks.
Accounts Payable:
- Process vendor invoices accurately and efficiently.
- Verify vendor accounts by reconciling monthly statements and related transactions.
- Prepare and process electronic payments, including wire transfers.
- Respond to vendor inquiries and resolve payment discrepancies in a timely manner.
- Maintain organized and up-to-date vendor files and documentation.
Inventory Management:
- Monitor inventory levels and reconcile discrepancies between physical counts and records.
- Coordinate with procurement and production teams to ensure accurate recording of inventory transactions.
- Analyse inventory data to identify slow-moving or obsolete items and recommend appropriate actions.
- Assist in the preparation of inventory reports, including valuation and cost of goods sold.
- Implement and maintain inventory control procedures to optimize efficiency and minimise losses.
Cash Management:
- Manage daily cash balances and monitor cash flow projections.
- Prepare and execute cash disbursements and receipts accurately and efficiently.
- Forecast cash needs and coordinate with finance team to optimize liquidity.
- Reconcile bank statements and resolve any discrepancies in a timely manner.
- Assist in the development and implementation of cash management policies and procedures.
Key skills and experience required includes:
- A friendly, enthusiastic, and self-motivated individual with a strong appreciation of customer service.
- Previous experience working with BSM software program.
- 5+ years experience in the export documentation field in the meat, agriculture or food space.
- Strong organisational and time management skills.
- Have a task orientated and process driven approach to your work.
- Ability to multitask and work under pressure to very strict deadlines.
- Demonstrated experience managing people and promoting an effective team environment.
- Ability to work with and communicate directly to management, take on challenges and new learning opportunities as they present themselves with a positive and can-do attitude.
- Ability to motivate individuals to ensure the company's shared vision and goals are achieved.
- Strong communication and interpersonal skills, including conflict management.
On offer is a negotiable salary package, depending on your skillset and experience ranging from $70,000-$80,000 per annum with superannuation on top.
