Position Overview:
We are seeking a detail-oriented and organised Accounts Administrative Assistant to join our team on a part time basis. The Accounts Admin Assistant will play a crucial role in supporting the finance department by performing various administrative tasks and assisting with day-to-day accounting operations. This position offers an excellent opportunity for individuals interested in gaining experience in accounting while contributing to the overall success of the company.
This is a part-time or casual position (20-38 hours per week depending on business requirements)
Key Responsibilities:
- Data Entry and Record-keeping: Accurately enter financial data into accounting software and maintain organised records of transactions, invoices, receipts, and other financial documents.
- Accounts Payable and Receivable: Assist with processing accounts payable invoices, issuing payments, and reconciling supplier statements. Support accounts receivable processes, including invoicing clients, tracking payments, and following up on outstanding balances.
- Bank Reconciliation: Reconcile bank and credit card statements regularly to ensure accuracy and identify discrepancies. Investigate and resolve any discrepancies in a timely manner.
- Financial Reporting: Assist with generating financial reports, including balance sheets, profit and loss statements, and cash flow statements. Prepare ad hoc financial reports and analysis as requested.
- General Administrative Support: Provide general administrative support to the finance department, including filing documents, answering phones, responding to enquiries, and assisting with special projects as needed.
- Communication: Collaborate effectively with colleagues within the finance department and across other departments to ensure smooth operations and a timely resolution of issues.
About You:
- Proven experience in administrative roles, preferably in an accounting or finance environment.
- Proficiency in Microsoft Office suite, particularly Excel, and experience with accounting software (preferably QuickBooks).
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
- Strong communication and interpersonal skills, with the ability to work effectively as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
