Role purposeThe Admin and Events Coordinator will support the IDP Australia Student Service team. You will interact and engage with the international students and staff from diverse cultural background. You will assist in maintaining effective office administrative duties to ensure the smooth running of the office as well as provides operation support to Education Counsellors. You will also require coordination of local office events.
Key accountabilitiesCustomer Service
- Direct students to complete online walk-in registration prior to directing them to counsellors.
- Manage walk-in registration and allocate counsellors according to office guidelines.
- Promote IDP IELTS testing services to all walk-in students as a part of the standard placement services.
- Attend IDP IELTS test enquiries and assist test bookings where required.
- Screen IELTS customers and Student Service customers to identify opportunities for cross servicing and action applicable cases to increase uptake of both services.
- Manage Virtual counselling appointments.
Operations Support
- Manage all customer services in the foyer.
- Report faulty building services.
Finance Support
- Purchase office supplies and stationery using Procure to Pay system.
- Reconcile office petty cash and responsible for office petty cash.
- Reconcile Non-IDP Student Visa Guidance Payment
- Ensure payment for creditors/services, Channel Partners/Referral Partners are paid on time.
- Re-class expenses when required.
- Purchase sales conversion campaign gift cards for staff / students
Administration Support
- Collection and distribution of incoming and outgoing mails
- Arrange courier pickups, deliveries and distribute mail.
- Organise for collection and delivery of equipment from corporate office or suppliers.
- Maintain front office, notice boards, digital screens with current information and ensure no inappropriate material is posted.
- Maintain stationery room and stock.
- Ensure clients, competitors and service providers contact details are up to date.
- Ensure brochures/prospectus are current.
- Administrative and logistic tasks as required.
Teamwork and Interactions
- Provide information and advice to prospective students.
- Be a team player and actively contribute to team projects/ activities.
- Provide support to colleagues from interstate offices when required.
Student Recruitment & Welcome Day Events
- Support Marketing and Line Manager with Student Recruitment Events preparation
- Liaise with institutions representative to confirm logistics and to make sure all relevant promotional materials/merchandises are sent to event venue prior to event.
- Organise lucky draw prizes (if any events have these)
- If event is runs at an external venue, pack and unpacked institutions brochures and stationeries for the day.
- Actively work with vendors and clients to secure sponsorship for events
Professional Attributes
- Display consistent high level of professionalism at work.
- Adhere to IDP process, policies, and Code of Conduct
- Minimum one years' experience in this field of Events & Administration
- Multilingual at least one additional language other than English
- Experience using a CRM.
- Demonstrated customer service skills.
- Experience with Microsoft packages (Word, Excel, and Outlook)
- Excellent written and verbal communications skills
- Ability to multi-task and work under pressure
- Ability to work effectively in a team.
- Enjoy working and engaging with tertiary students.
- Experience studying in Australia as an International student.
- Understanding of Australian Education Systems
- Demonstrate interest in learning and growing skills.
