This is an Admin Manager/Studio Support role for Village Well and Epoch Institute.

THE ROLE
This position offers variety! The Admin Manager/Studio Support is responsible for providing administrative and business support for Village Well, as well as supporting the management of Epoch Institute as needed.
The role is client-facing, responding directly to client and public inquiries. The ideal candidate will be good with people, responsive, relational and love organising! They will be solution-focused and know the business administration world.
ROLES & RESPONSIBILITIES
Representation:
- Represent our brand authentically and positively.
- Foster welcoming atmosphere for clients and staff for both Village Well and Epoch Institute.
- Proactively engage with staff and tenants.
- Contribute to social media to grow our brand.
Self-motivation and Initiative:
- Demonstrate self-reliance while being open to guidance.
- Manage tasks effectively and prioritise workload.
- Communicate resource needs effectively.
Office Management:
- Ensure smooth office operations.
- Maintain the office space with a ‘customer care’ lens to ensure it maintains a tidy and welcoming state.
- Serve as primary contact for inquiries and bookings.
- Oversee internal safety and administrative systems.
Office Culture:
- Foster positive office environment.
- Organise internal events.
- Build relationships with tenants and clients.
Business Administration:
- Provide administrative support.
- Assist with financial tasks.
- Coordinate travel arrangements.
- Collaborate on content creation.
- Support proposal development.
Presentation Preparation:
- Design visually appealing presentations.
- Provide technical support during presentations.
Event Management:
- Assist CEO in organising events.
- Provide marketing and logistics support.
- Bump in and bump out support for events
QUALIFICATIONS & ATTRIBUTES
Role requirements:
- Outstanding verbal and written communication skills
- Strong written and verbal communication skills, with the ability to convey complex information clearly and persuasively.
- Proficiency in Microsoft Office Suite, particularly PowerPoint, Word, and Excel.
- Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
- Attention to detail and accuracy in all work activities.
- Ability to work independently with minimal supervision and as part of a collaborative team.
- Flexibility and adaptability to changing priorities and deadlines.
- Adept at learning and integrating new software systems quickly.
- Familiarity with graphic design software such as Adobe Creative Suite.
Desirable value adds:
- Previous experience in consulting office.
- Research and copywriting experience.
- Some graphic design skills.
OTHER EMPLOYMENT TERMS
The role will work from the Epoch Institute Co-working office, Level 1, 147-149 Cecil St, South Melbourne, and is a full-time, in-person role with expectations to be in the office full-time.
