Qualifications & experience
- You will have administration experience including answering phones, greeting visitors, handling mail, organising documents, running general errands, and maintaining office supplies. You will also have experience in data entry, typing correspondence, and supporting other team members as needed.
- You will also be expected at all times to display an excellent phone manner, confidentiality, competency in using Microsoft 365 suite, a professional customer service approach and the ability to work unsupervised as well as being a team player.
Tasks & responsibilities
- Reception Attend to all incoming telephone calls and ensure that all calls are answered within two rings and responded to in a warm, friendly, courteous, and professional manner Ensure all messages are taken accurately and include name, telephone number of caller and time the message was taken.
- Ensure messages are emailed immediately to the relevant staff member/s. Attend to all walk-in enquiries in main reception area, ensuring clients are greeted in a courteous, friendly, and professional manner and that seating and refreshments are available when necessary.
- Ensure reception area, boardroom, and meeting room are kept tidy at all times. Maintain online calendar for boardroom bookings for meetings ensuring no double bookings take place. Keep internal telephone directory up to date and maintain accurate listing and distribute to all staff.
- Office Prepare and type correspondence. Photocopying and binding. Maintain and provide assistant with office supplies and equipment. Monitor and purchase all stationery for the Townsville/Brisbane office staff; ensuring appropriate authorisation has been obtained prior to ordering.
- Incoming/Outgoing Mail Control of all filing, including setting up of new files and filing systems (paper and electronic). Receipts/filing to be completed every day. Ensure kitchen is kept clean, provide monthly roster and maintain kitchen supplies
