About the Role
An exciting opportunity for a full-time Admin Assistant to join the team at Pioneer Water Tanks on a 12-month fixed-term contract! As part of the Finance team, and reporting to the Accounts Supervisor, you will be the first point of contact for visitors and guests at the front office/reception area. This is a dynamic role as you will not only perform admin tasks but also support the team by assisting with accounts. The successful candidate will have strong customer service skills and previous experience in an office environment.
Key Responsibilities
- Be the first point of contact for all visitors/guests, offer relevant assistance and direct them to the requested person/location.
- Answering incoming phone calls and forwarding to the relevant personnel.
- Receiving and receipting incoming mail and distributing outgoing mail accordingly.
- Maintaining and managing the Pioneer Water Tanks email inbox.
- Manage Accounts Receivable in regards to invoicing rural deliveries.
- Support Accounts Payable tasks such as invoicing and reconciling transactions to supplier statements.
- Use the SAP software to maintain vendor and customer details, check/process receipts for staff vouchers and reimbursement claims and enter sales orders.
- Filing banking remittances and invoices to the relevant location.
- Following up on outstanding invoices/credits from suppliers.
- Perform banking duties in relation to supplier bank files and stamping invoices and ensuring they have been actioned before the provided deadline.
- Ensuring office stationary and general office and kitchen supplies are maintained, following the relevant approval process.
- Perform admin duties such as printing, laminating and scanning when reasonably directed.
- Assist Sales department as required.
- Undertake all other reasonable tasks and duties within your skill and ability, as directed.
Skills and Experience
- Previous experience in an office environment and in a customer service role.
- Strong attention to detail.
- Excellent time management skills with a strong capacity of meeting deadlines.
- Strong initiative and problem-solving skills.
