Job description

Talking Matters is a leading provider of speech pathology & occupational therapy services for children.  In 2020 we opened our new site in Christie Downs, enabling us to assist families in the South as well as our original Elizabeth Downs site in the North.  

Due to a continuing increase in clinicians and our commitment to ongoing growth, we are seeking a suitably skilled & friendly Receptionist / Administrative Assistant to join our dedicated team. You will provide a professional and welcoming face to our practice while helping to make sure everything is running smoothly for both families and clinicians in the background.

This role will require availability to be rostered between 7.30am and 6.00pm Monday to Friday and Saturdays from 7.30am to 3pm.  Each shift will be no longer than 8 hours per day with the fortnight being no more than 76 hours. Please note that Saturdays will be required in this role.  We are however flexible to discuss full-time/part-time hours for the right candidate.

The position is more complex than people typically realise, but it's also very rewarding.  To be successful you will be a friendly, switched on and computer savvy person who likes to be busy and can pick up new processes quickly.

About the role

  • Greeting and welcoming the families who use our service
  • Responding to telephone calls and emails
  • Assisting with queries about our services, bookings, Medicare and NDIA
  • Raising invoices and taking payments using a range of payment options
  • Managing clinician calendars and service bookings
  • Managing various data bases and reporting functions
  • Managing communication between clients and our team members
  • Assisting with debt collection
  • Keeping service agreements up to date with families for services currently being offered
  • Assisting to manage required documentation for off-site service provision
  • Keeping our waiting room and facilities tidy and pleasant to be in

Essential skills & experience 

  • Clear and effective communication skills both verbal and in writing
  • Driver's licence
  • Working with Children Check or willingness to obtain before commencing
  • NDIS Worker Check clearance or willingness to obtain before commencing
  • Childsafe training certification or willingness to obtain prior to commencing
  • National Police Clearance or willingness to obtain prior to commencing
  • First Aid Certification ( Provide First Aid ) or willingness to obtain 
  • Competence in using Microsoft word and excel
  • Competence in using the range of technology typically found in an office environment
  • The ability to learn new skills quickly

Desirable skills & experience

  • Demonstrated experience interacting with young children and children with disabilities
  • Knowledge about allied health and the role of a speech pathologist and occupational therapist in helping children
  • Knowledge of the Medicare and NDIA systems
  • Demonstrated ability to work effectively in a team of professionals
  • Experience with MYOB and accounts payable highly regarded
