How you will make an impact
We are seeking an experienced administrator to assist across a range of functions within Cabrini's Research team. The Administration Assistant will provide support to our clinical academics and scientists who work closely together to drive leading-edge research to improve patient outcomes and healthcare delivery worldwide.
Reporting to the Director of Research Operations, you will work collaboratively with Cabrini Foundation, Finance, People and Culture (HR) and Marketing teams to ensure our research programs run efficiently from an administrative perspective.
This is a 12-month fixed-term contract with opportunity to convert to an ongoing role subject to satisfactory performance. The role is structured to support work from home consistent with Cabrini policy and practice. Key responsibilities include:
- HR support (Workday system - recruitment, job changes, onboarding, follow up of outstanding staff training through reporting, organising performance reviews)
- Payroll processing for Research Department staff (Dimensions/KRONOS & Chris21 systems - entering pay data, reviewing hours worked, amending timecards, coordinating back-pay)
- Finance support - processing invoices, generating billing
- Committee coordination - organising meetings and taking minutes
- Coordinating Grant support and organising panel reviews
About you
To be successful in this role you will need to be a highly professional, responsible, proactive, self-motivated person that is well organized and able to juggle multiple priorities. You will also have:
- Qualifications in Human Resources, or Business Administration or similar (preferred)
- Previous experience in a HR Administration role or similar office support role
- Demonstrated experience using a HR Information System (Workday desirable)
- Experience responding to HR related queries and providing advice regarding HR processes and procedures
- Exposure to payroll data entry and/or invoicing advantageous
- Experience coordinating meetings and minute taking advantageous
- Proficient in the full range of Microsoft Office applications
- Demonstrated understanding of privacy and confidentiality
- Excellent customer service and communication skills with both internal and external customers and the ability to build relationships with all levels of the organisation
