What you'll do:
As an Administration Assistant, you will play a pivotal role in ensuring smooth operations within the office. You will be responsible for managing various tasks ranging from being the go-to person within the office to managing diaries for the Partners. Your role will involve building relationships with stakeholders, managing incoming calls, handling correspondence, booking couriers and maintaining supplies. You will also organise catering for meetings and events, assist with event setup and report any facility maintenance issues. This is an excellent opportunity for someone looking to embed themselves in a dynamic business environment.
- Act as the go-to person within the office, being the first point of contact at reception
- Oversee client experience and build relationships with stakeholders
- Manage incoming calls, including answering, screening and forwarding
- Handle correspondence, including collecting, distributing and sending
- Book couriers and manage records of bookings
- Enter disbursements and manage meeting rooms
- Maintain kitchen supplies and stationery supplies
- Manage diaries for Partners and multiple email inboxes
- Organise catering for meetings, functions and events as required
- Perform general receptionist duties and administrative tasks
What you bring:
The ideal candidate for this Receptionist/Administrator role will bring a wealth of experience from similar roles within a accounting firm. You will have demonstrated your warm and friendly approach in past roles, showing your ability to communicate clearly with people. Your flexibility and adaptability will be key in this role as you juggle multiple tasks at once. Your high level of computer literacy will assist you in managing various administrative tasks, while your keen eye for detail will ensure all tasks are completed to the highest standard.
- Previous experience as a receptionist or administrator within an accounting firm
- Understanding of preparing financial packages and lodgements
- Warm and friendly approach, both polished and personable
- Clear communicator with the ability to build rapport with people of all ages and personalities
- Flexible and adaptable with a willingness to help others
- Proven multi-tasking, problem solving and time management skills
- High level of computer literacy, including Microsoft Office suite
- Sense of urgency to complete tasks with an eye for detail
