Job description

Due to continuing growth in the business, we have an excellent opportunity for a dynamic person to join our close-knit team at our Brisbane branch in the role of Administration Coordinator, on a full-time basis.

The role

The Administration Coordinator role is diverse and exciting, combining accounts and administrative tasks, including but not limited to:

  • All aspects of job card processing; electronic creation, quote preparation, processing customer purchase orders, preparing outwards goods advice, creating purchase orders, invoicing and finalisation
  • Booking travel for national and international trips for our technicians and Account Managers
  • Arranging site access for various mine sites and maintaining/renewing access 
  • Record keeping of training, qualifications, site access and inductions, and renewing where necessary
  • Following up outstanding Invoices /PO’s 
  • Completing and lodging staff expense claim forms
  • Run reports as required by the Branch Manager
  • Assist with the quotation for bench repairs for Customer's including following up of these quotes
  • Schedule customer training sessions 
  • Other administration duties as required by the Branch Manager

Qualifications and Experience

To be considered for this role you will need: -

  • A high level of computer literacy
  • Excellent communication skills both verbal and written
  • Polite and professional phone manner
  • Proficient with Microsoft Office suite (specifically Word, Excel and Outlook)
  • Pronto & OnBase experience advantageous but not essential
  • Excellent time management and organisational skills
  • Ability to prioritise tasks
  • Must be a fast learner and self-motivated
