ABOUT THE ROLE
The purpose of the Administration Officer position is to provide clerical and administrative support for the Presbytery relating to general presbytery operations, especially property and finance. The position will work closely with Presbytery Standing Committee and be directly responsible to the Presbytery Chair or their nominee.
KEY RESPONSIBILITIES
This role will take responsibility for the following areas;
Financial
- Receive and process all accounts payable and prepare for confirmation of payment;
- Input approved accounts payable into MS Business Central ;
- Process payments as authorised;
- Input Accounts receivable invoices via MS Business Central and distribute to debtors;
- Monitor bank accounts and cashflow conducting reconciliations as scheduled;
- Manage issue, cancellation and monthly acquittal to Corporate cards issued on behalf of Presbytery;
- Manage documentation for those employed or in placement with Presbytery and liaise with Synod Payroll to provide compliant efficient HR services;
- Maintain electronic access for ABR, ATO, RAM, ACNC, and update details as required.
- Submit annual ACNC and AFR Reports. Support and review congregations’ AFR submissions.
- Prepare and monitor financial budget as required;
- Provide Balance Sheet, Income & Expenditure, Creditor and Debtor reports as required;
- Liaise with Synod Risk and Insurance to manage risk within the Presbytery;
- Complete and submit quarterly Business Activity Statement;
- Liaise with auditors to deliver audited financials by 31OCT annually;
Property
- Maintain record of properties under Presbytery stewardship;
- Maintain Motor vehicle fleet including registration, insurance and maintenance;
- Prepare documentation as required by Property Officer;
- Monitor lease and hire/user agreements and liaise with Real Estate Agents for Presbytery property;
- Support congregations seeking to utilise Sales Proceeds within policy including build, sell or drawdown;
- Liaise with congregations to assist with annual insurance questionnaires and periodic WHS reviews;
- Liaise with the line manager to facilitate repairs and maintenance works – i.e. obtain quotes, seek the services of trades people; ensure work is completed;
General office operations
- Respond sensitively and promptly to telephone calls, visitors, and written requests for information
- Collect and direct all mail as appropriate
- Promptly refer pastoral matters to the relevant pastoral leader
- Ensure Presbytery volunteers and staff have working with Children checks and verify these checks
- Maintain administrative databases and registers
- Reading and understanding the Basis of Union, and having a preparedness to work within the polity and ethos of the Uniting Church in Australia
- Abiding by the policies and procedures of the Uniting Church in Australia Synod of NSW and the ACT
- Having a genuine willingness to embrace challenges as they arise and to work flexibly in support of the overall key objectives of the Uniting Church in Australia
- A willingness to work a flexible schedule when required
- Following policy and procedures in relation to workplace health and safety
- Participating in maintaining a safe working environment for both yourself and others in the workplace
- Undertaking additional duties as directed
KEY RELATIONSHIPS
INTERNAL
- Presbytery Chairperson or nominee ;
- Presbytery Finance Officer or nominee;
- Presbytery Property Committee or nominee;
EXTERNAL
- NSW ACT Synod Services;
- Service providers (utilities, trades people and contractors);
- Congregation leaders.
QUALIFICATIONS AND EXPERIENCE
- Certificate IV in Accounting and Bookkeeping (or equivalent) or higher.
- Good interpersonal and communication skills.
- Demonstrated competence using MS Office skills especially Excel and Word.
- Competence with Accounting software generally. MS Business Central competence (or preparedness to undertake training to achieve this) will be essential.
- Strong organisation and time management skills.
- Ability to work in a team environment.
Experience in working in a team environment and operating independently will be well regarded. Ability to work in a job-sharing capacity may be beneficial.
