We are seeking a personable and conscientious Administration Officer to support the Operations of the School. This includes, but is not limited to transport, Data Management, compliance and Contractors. This role is the first point of contact for transport matters as referred by Students Services and supports parent, student and supplier enquiries in an efficient, prompt and courteous manner at all times.
This role is offered on a permanent full-time basis, working from 8am to 4pm each day.
The Administration Officer will be expected to:
- Support the Administration Manager in the day to day management and administration of the school's Bus contractors;
- Support billing-related processes, including the provision of attendance data in to Accounts and Student Services.
- Manage all reporting and administrative matters relating to the operation of the bus service including weekly reports, minutes, agendas and action lists;
- Conduct periodic inspections of the fleet to ensure the buses are compliant and are in good working condition;
- Monitor practices and act to ensure the safety and well-being of students while on the School’s bus services at all times;
- Follow up reports of student misconduct and inquiries promptly and appropriately from the contractor, with members of the School community;
- Review assigned bus routes, and monitor compliance to ensure the ensuring timely arrival and departure of students;
- Communicate effectively with school administration, parents, students and members of the School community regarding route changes, delays, or other relevant information;
- Be prepared to respond to emergencies, including accidents, breakdowns, or medical incidents.
- Provide timely updates on bus schedules, delays, or other pertinent information;
- Address enquiries and concerns from stakeholders in a professional and courteous manner;
- Maintain confidentiality regarding sensitive information related to students, families, and school operations; and
- other various administrative support tasks as required.
The successful applicant may possess:
- 2-3 years of experience in a similar, customer facing role, with proven exceptional performance;
- ability to liaise professionally and confidently with staff and other stakeholders;
- Advanced level of competency in Microsoft Office;
- Knowledge and/or experience in utilising TASS (The Alpha School System) database or similar is preferred but not essential;
- Ability to be tactful, discrete and maintain confidentiality at all times; and
- Professional and friendly demeanor.
