Job Description:
We are looking for an enthusiastic and professional Administration Assistant to join the Health U team. In this role, you will be responsible for providing confidential secretarial support to the director and administrative support as part of our management team. In addition to general administration tasks, you will play an active role in our recruitment and onboarding processes and rostering. You will assist in quality and compliance tasks, risk management, finance and reporting as well as provide operational support and engagement of current and potential clients.
Your qualifications & experience may include:
- Bachelor's degree in any field (desirable, but not essential)
- Prior experience in administrative roles, preferably within a healthcare or similar setting.
- Proficiency in office software for correspondence, reports, and presentations (e.g., Microsoft office, particularly Excel).
- Intermediate to advanced IT skills including competent use of Microsoft office and the ability to quickly learn how to use our client management system(s).
- Strong organizational skills to manage daily schedules and tasks efficiently.
- Computer and technological savvy (desirable)
- Ideally 2+ years’ experience within the community services, disability, aged care, or mental health sector
- Knowledge regarding NDIS policies and procedures
- Current Police Check
- Covid-19 vaccination certificate
- Current CPR/First Aid certificate
Tasks & responsibilities may include, but are not limited to:
- Administrative support including scheduling, correspondence, and maintaining accurate records within NDIS compliance
- Creating and executing social media marketing strategies to enhance our community engagement and service visibility.
- Assisting with event planning and execution to support community outreach.
- Engaging with our community through social media platforms, addressing inquiries, and fostering positive relationships.
- Collaborating with the team to innovate and improve our service delivery.

You will also support the director and senior management with correspondence, reports, and presentations, assist with minute-taking and agenda preparation, and participate in a range of organizational committees and meetings. Additionally, you will provide general supervision and support of administrative staff with their daily schedules and organization of tasks. You will also carry out other functions required of the director, including rostering, team communication, HR and recruiting matters, liaising with stakeholders and other business partners, and marketing.
