About the Role
The Administrator/Receptionist is responsible for providing reception and clerical support in order to ensure that services are provided in an effective and efficient manner.
Key Responsibilities
- Deal with any queries either in person, via phone, email, and general correspondence in a professional and timely manner.
- Meet and greet clients/visitors and arrange refreshments if required.
- Book couriers and keeping record of the bookings and follow up on any delays experienced.
- Manage car bookings.
- Manage reception voicemail inbox, responding and recording messages accurately.
- Liaise with suppliers and other external organisations as required.
- Manage inter-state and international travel bookings.
- Assist with external comms assistance via website - including sourcing of content, copy writing, image selection, uploading, monitoring of results.
- Assist with social media platform management on LinkedIn platform– including sourcing of content, copy writing, image selection, uploading, monitoring of results.
- General administrative support and assist with Finance administration.
- Assistance with tender proposals and submissions – word processing and desk top publishing of content, sourcing and maintaining standard content (CV’s, project data sheets etc).
- Other ad-hoc duties as required.
About You
In addition to the duties outlined above the candidate should be a quick thinker and be able to work autonomously with some direction from the senior group to ensure the successful delivery of projects.
Ideally you would also have:
- Intermediate to Advanced MS Office skills (Word, Excel & Outlook);
- Excellent interpersonal skills & communication skills
- Previous reception and/or administration experience (ideally 3+ years)
- Strong numeracy skills and previous exposure to financial administration
- Flexible attitude to responsibilities and work hours.
- Advantageous to be proficient in Digital Marketing (Canva, Photoshop, Indesign and social media content).
- Personable and friendly.
- Demonstrate an ability to maintain effectiveness under pressure
