A leading consultancy firm who specialises in providing comprehensive consultancy services for heritage and planning projects across Sydney and Australia. With a focus on preserving and enhancing the cultural heritage, they contribute to the sustainable growth and development of communities. This firm is seeking a dynamic, dedicated administrator to join their team on a full-time, permanent basis. The successful candidate will play a critical role in managing administration, ensuring efficiency, organisation, and smooth workflow within a fast-paced environment, as well as assisting the Director of the company.
Role will be in office 3 days a week (Monday, Tuesday & Thursday) - and can be flexible if needed
Your new role
- Respond to enquiries and forward them to staff as required.
- Provide administrative support as required.
- Attend meetings as required.
- Manage telephone calls, emails, and mail distribution.
- Coordinate and assist with the principal's emails, diary management and time sheets/billing.
- Assist in coordinating LEC work, including physical folder preparation, diarise and coordinating site visits, meetings, maintaining the unavailable date list, maintaining LEC job schedule, regular meetings with the principal.
- File and review fee proposal requests
- Draft and issue fee proposals
- Follow up on unaccepted fee proposals
- File all signed fee proposal acceptances in the job folder, upload to the job sheet and Xero.
- Generate and send invoices using Xero, ensuring proper filing and documentation. Follow up on unpaid invoices and bills.
- Coordinate with the bookkeeper to reconcile accounts and invoices.
- Maintain the currency of all work insurance, terms and conditions.
What you'll need to succeed
- Prior experience in a similar role or relevant administrative experience.
- MUST have strong skills in writing proposals
- Strong organisational skills and attention to detail
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks simultaneously and meet deadlines and stay calm.
- Proficiency in using Xero accounting software preferred, OneDrive and Microsoft Suite (Word, Excel, PowerPoint, Outlook).
