Our client is a Federal Government Agency and currently seeking an Executive Assistant to join on an initial 6 month contract term.
The Executive Assistant is a pivotal role devoted to providing high level support to the Executive in managing relationships and delivering timely, complete and accurate outputs. The Executive Assistant will coordinate and source relevant input across the branches and/or the organisation to draft outputs such as emails or briefs. They will also work as part of a broader team of executive support to ensure that the agency's Executive are able to work as effectively and efficiently as possible.
About the Role
Under limited direction, the Executive Assistant is responsible for managing Senior Executives' office day-to-day in a professional manner, including:

  • Acting as the primary point of contact for the Executive, and engage effectively by building and sustaining internal and external relationships to support the Senior Executive in operational and business matters
  • Managing the flow of sensitive material within the branches and for other Senior Executives
  • Taking phone calls, scheduling appointments, resolving time conflicts, coordinating inputs, drafting correspondence, escorting visitors, arranging travel, printing or loading papers onto mobile platforms and setting up of meeting rooms
  • Prioritisation and scheduling of workflow and financial tasks to meet deadlines according to agency priorities
  • Managing incoming and outgoing correspondence (including email)
  • Proactively assisting and preparing for important meetings including both internal and external committees
  • Reschedule and reorganise work to reflect changes in priorities (calendar changes, team calendar changes, working with other EAs managing meetings and meeting rooms)
  • Demonstrate flexibility and cope with day-to day work changes and shifting priorities
  • Demonstrating initiative in improving branch or organisational processes and procedures to ensure that the Senior Executives' offices operate smoothly
  • Coordination for the Senior Executive relating to the delivery of outputs for the division and branch
  • Assist in the preparation and coordination of correspondence, budget management, procurement of goods and services, branch executive reports and partner agency meetings and outcomes
  • Provide secretariat and administrative support to internal governance meetings
  • Take the initiative to improve on processes and practices
Key Skills and Requirements
To be successful in this role, you will have experience within a Personal/Executive Assistant role and can maintain a high level of confidentiality and professionalism and build and maintain positive and effective working relationships. You are proactive, flexible, forward-thinking, and solutions-focussed, with a strong focus on attention to detail and being exceptionally organised. You are also someone who thrives in a fast paced and every changing environment and had a personable approach. You will also need to have strong administrative experience, great communication skills, and thrive on being a team player.
Please note that to be eligible for this role you will need to be an Australian Citizen and need to complete a National Police Clearance.
