Role Overview
The Executive Assistant to the ChiefExecutive Officer (CEO) is responsible for coordinating, administering and representing the activities of the CEO and CEO’s office, in support of their priorities.
This role provides high level professional administrative support to the CEO and the Executive Officerto the CEO and will exercise judgement, discretion and confidentiality in the management of information provided, including diary and schedule coordination.
Primary Responsibilities
- Develop and maintain an understanding of the agency’s impact on strategic and operational outcomes for the agency.
- Professionally develop and manage relationships with internal and external stakeholders.
- Proactively identify critical tasks, suggest solutions and take appropriate action, including providing advice and managing the resolution of issues.
- Support and work collaboratively with Comcare Executive in the management and coordination of business-related activities.
- Manage confidential and sensitive information, using initiative and judgement to prioritise, coordinate actions appropriately, identify and escalate issues to the CEO or Executive Officer where required.
- Support and work collaboratively with the Executive Officer.
- Manage aspects associated with the CEO’s work schedule including diary and travel management, financial reconciliations, procurement documentation, preparation and coordination of relevant papers.
- Manage and maintain records for the Office of the CEO in accordance with agency policies and procedures.
- Provide leadership and mentor Executive Assistants across the business areas.
- Undertake a range of administrative tasks including the management of and response to correspondence, enquiries and requests by prioritising actions, and identifying and undertaking related tasks including follow-up and monitoring.
- Proactively identify, develop and implement improvement in procedures and processes, coordinate meetings including scheduling, agenda creation and other secretariat duties.
- Lead the delivery of programmes or projects under general direction, including contributing to planning and decision making.
- Uphold and promote a healthy and safe working environment, modelling and promoting ethical behaviour and practices consistent with the APS Code of Conduct and Values.
Eligibility
- Australian citizenship.
- Character clearance (police records check).
- Health clearance.
- Six months probationary period for new engagements.
- Ability to obtain and maintain a Negative Vetting 1 Security Clearance.
- Specific conditions: Some interstate travel when required.
