The purpose of this EA role is to ensure efficient and smooth running within the Ground Transport, Property & Retail team by providing confidential and professional executive assistance and support to the Chief of the business unit.

The Executive Assistant plays a critical role in ensuring that both the Chief and leaders can function effectively and make high-quality decisions. This role also coordinates and provides direction and support to the leadership team supporting the broader business.

Key responsibilities:

Meeting Management:

  • Co-ordinate meeting requirements, prepare agendas, packs, and documents.
  • Produce succinct and accurate minutes for Executive and management meetings, ensuring prompt circulation and clear communication of matters arising and actions.
  • Collate required documentation and information, confirming any preparation requirements.

Communications:

  • Manage phone calls and communication to the Chief.
  • Monitor and manage emails, ensuring all requests are actioned appropriately.
  • Draft correspondence, emails, and prepare presentations for internal announcements and meetings.

Administration:

  • Provide timely and effective administrative support to the Chief and leadership team.
  • Produce high-quality documentation such as correspondence, papers, letters, spreadsheets, and presentations.
  • Assist with key projects, strategic initiatives, and day-to-day operations.

Stakeholder Management:

  • Act as a key point of contact for the Chief and team leaders.
  • Liaise with internal and external stakeholders to build strong relationships.
  • Provide assistance and guidance to other Executive Assistants and administration staff.

Finance:

  • Reconcile and approve corporate credit card expenses.
  • Manage personal expense records, claims, and reconciliations.

Travel Arrangements:

  • Organise travel including flight bookings and accommodation.
  • Prepare comprehensive travel itineraries and assist with conference and event registrations.

Other Responsibilities:

  • Be prepared to deal with emails, phone calls, or crisis matters out of hours as needed.
  • Follow up on technology issues, requests, and training requirements for the team.
  • Monitor adherence to regulatory training requirements for the Chief and wider team.

The successful candidate will have:

  • The position requires a first-class professional with extensive experience supporting senior executives and a proven ability to prioritise competing deadlines and remain calm and collected under pressure.
  • The incumbent should have excellent written and verbal communication skills and be able to balance how and when to deal with issues and prioritise.
  • The role requires the incumbent to be able to adapt, be calm, efficient and flexible and to be able to anticipate needs and reassess priorities as changes occur.
