The Opportunity
A rare and fantastic opportunity as an Executive Assistant to our new CEO will see you play a crucial role in supporting our CEO achieve sustainable success for the City of Stirling.
The Executive Assistant to the new CEO is a key position within the City of Stirling, providing high-level proactive support to the CEO, ensuring the efficient and effective operation of the Office of the CEO in alignment with the City’s values.
The Executive Assistant provides seamless support and collaborates across all levels of the organisation and provides a key liaison role between the CEO, Mayor, Elected Members, employees and external stakeholders. As the primary point of contact on all matters pertaining to the CEO, this dynamic and fast paced position demonstrates exceptional communication skills, initiative, adaptability and discretion whilst being committed to always maintaining confidentiality.
With a customer-centric approach, the Executive Assistant to the CEO ensures excellence in service delivery both internally and externally. This is an opportunity to support new ideas, new solutions and to make a difference in the City’s future.
This permanent full-time position (5 days per week) is a Level 7 Inside Workforce Agreement position which attract a salary from $93,235.12 – $98,143.25 gross pro rata per annum plus superannuation.
Key Responsibilities
Deliver strategic, efficient and proactive administrative support to the CEO, handling confidential and sensitive matters with tact and discretion.
Proactively manage the CEO’s dynamic schedule including diary management, meetings, travel arrangements and document management to ensure the day-to-day operations of the CEO are effectively coordinated.
Act as the CEO’s principal contact point and a key liaison with the Mayor, Elected Members and stakeholders, collaborating closely with the Executive Team and senior officers to ensure timely communication with the CEO regarding critical matters.
Coordinating meetings for the Executive Team, including preparation and distribution of papers, following up on actions and minuting meeting as required.
Coordination and management of employee events, such as employee briefings, functions and meetings (internal and external) volunteering and charity activities.
Contribute to transparent and ethical governance that is responsible, clear and in line with legislative requirements and standards to ensure the CEO meets all legislative obligations relating to declarations for Council meetings, gift disclosures, travel and annual returns.
Take a proactive role in sharing continuous improvement, enhanced technologies, identifying corporate issues and offering potential solutions.
About You
You will naturally operate with efficiency, adaptability and confidentiality, with your previous experience being complimented by your high level of energy, curiosity and professionalism.
Our ideal candidate will have:
Exceptional organisational skills and impeccable attention to detail
Ability to maintain a high level of integrity and discretion in dealing with confidential and sensitive matters at all times.
Demonstrated ability to work under pressure and proactively manage tasks to meet deadlines while ensuring accuracy and quality.
Excellent interpersonal skills including tact and diplomacy and the ability to establish rapport and effectively liaise with a wide range of stakeholders on complex and sensitive matters.
A demonstrated commitment to customer service and continuous improvement
Technical proficiency and problem-solving skills related to Microsoft Office, ICT and organisational systems with an ability to adapt to changing technology.
Tertiary qualification or significant executive support experience in a similar or private sector environment
