Our client, a major healthcare provider to one of the fastest growing and most diverse regions of Australia, are currently looking for an Assistant Facilities Manager to join the Engineering team based in Footscray. This role is a fixed term contract position until September 2025.
The Engineering team are committed to ensuring that all buildings, grounds, services, plant, equipment, machinery, furniture & fittings perform efficiently, are maintained, and serviced in such a manner that they provide a safe and pleasant environment for patients, staff and visitors to their sites.
The Assistant Facilities Manager team lead role is required to ensure the integrity of systems in support of heating, ventilation, air-conditioning, hot water, emergency, safe drinking water and safe sterilisation - by being the key single point of accountability and authority.
This role will see you being responsible for allocating, coordinating and monitoring all works related to internal and external trades staff. This includes both planned (PMs) and unplanned works (work orders, call ins and internal corrective follow up works).
Key responsibilities
- First point of call for ALL external and contracted works, including PMs, and enquiries from contractors
- Allocate internal work orders to trades team members and external contractors
- Follow up outstanding internal work orders and ensure all are being completed in a timely manner
- Hold daily trade staff operational stand up toolbox meetings
- Follow up on overnight call ins and allocate work orders as required
- Review and report on the on-call roster, where possible minimize call outs and implement preventative maintenance
- Handle, communicate and document any staff escalations to the Facilities Manager
- Handle all trade team rostering; setup, review and manage changes
- Review the purchase of materials and good and confirm they are linked to existing work orders
- Approve external contractors Permits to work on site
- Engage with a wide range of internal and external stakeholders to facilitate and pursue current, planned and future solutions
- Coordinate internal service disruptions for works as required
- Create asset master data records
- Monitor adherence to the preventative maintenance schedules for third party works
- Review contractors licences and permits, authority to stop work or refuse to grant access
- Identify and resolve technical problems
- Support and contribute to quality and continuous improvement schedules

Essential selection criteria
- Qualification in an Engineering, Building, Project Management and/or Asset Management OR relevant experience
- Strong understanding of Infrastructure Delivery
- High degree of commercial acumen and a strong sense of accountability
- Knowledge of building regulatory requirements
- Strong understanding of project lifecycle and contract management
- Experience using Microsoft Suite including PowerPoint, Excel & Outlook
- Ability to manage and prioritise multiple conflicting projects
- Experience in using and developing asset management systems (i.e Pulse) and supporting technology (i.e mobile computing solutions).
- A good team player who is confident, well-motivated and capable of working under pressure, with an excellent record for meeting deadlines
- Quality improvement, project management and change management experience and achievements within a complex organisation
