Job description

Based in Perth, PAC Australia is a leading national membership organisation for the performing arts industry.

PAC Australia delivers a range of programs in market and industry development, including a suite of bespoke training programs, the Australian Performing Arts Exchange (APAX - the national arts market and professional development event) and the organisation was recently appointed by Creative Australia to deliver the international market development event, the Australian Performing Arts Market (APAM) from 2025-2030.

To help facilitate and guide the growth of PAC Australia, the newly positioned role of Business Manager is responsible for overseeing financial management, contracts, compliance and reporting, HR, policy and risk management, and membership management. This senior role in the organisation ensures the appropriate resourcing of PAC Australia’s operational outputs and strategic goals, and requires high levels of initiative, the ability to work autonomously and be responsive to the immediate and longer-term needs of the organisation and our members.

This role will be central in designing new systems and internal policy development as the organisation continues to grow.

Depending on the skills and experience of the incumbent, the role may also oversee or contribute to specific projects related to the delivery of PAC Australia’s Strategic Plan.

Responsibilities

Finance Management

  • Provide direction to the bookkeeper in servicing accounts payable, accounts receivable and payroll processing.
  • Managing aged receivables.
  • Preparation of monthly finance reports and revised forecasts.
  • Preparation of short cycle and long term forecast cashflow reports.
  • Preparation of regular financial reports for the scheduled Governance, Risk, Audit and Finance (GRAF) committee, including balance sheet, aged receivables, cash flows, profit and loss, and revised forecasts.
  • Preparation of the annual budget, in collaboration with the Executive Director.
  • Oversee event settlements.
  • Oversee the organisation’s various bank accounts and investment portfolio, including ensuring a currency of authorised signatories.

Contracts, Compliance and Reporting

  • Lead the ongoing development and maintenance of an operations manual and policies schedule.
  • Manage insurance and banking requirements.
  • Ensure the organisation’s ongoing compliance with statutory and regulatory reporting requirements, including but not limited to the Australian Charities and Not-for-profits Commission (ACNC), ATO and ASIC.
  • Preparation and lodgement of funding reporting requirements, including milestone reporting and acquittals.
  • Manage the organisation’s risk register.
  • Oversee the audit and delivery of annual financial statements.
  • Ensure the organisation’s ongoing compliance with the constitution.
  • Preparation of the Annual Report in collaboration with the Executive Director and relevant heads of department.
  • Support the preparation of materials, notices and processes related to the Annual General Meeting and election of the board of management.
  • Support the executive, board and committee members to be appropriately resourced in their decision-making regarding policy and organisation finances.

HR Management

  • Manage recruitment processes.
  • Preparation of employment contracts.
  • Employee on-boarding including policies, procedures and reporting.
  • Schedule performance reviews and other HR related meetings as required.
  • Manage initial handling of HR issues, reporting to the Executive Director and HR board representative as required.
  • Oversee payroll including the management of leave requests, accruals and other entitlements.

General Administration

  • Manage the organisation’s IT resources (hardware and digital) including the ongoing update and improvement of systems, and coordination with external support providers.
  • Oversee supplier procurement.
  • Manage office lease arrangements.
  • Support administrative functions of the organisation during staff absences.

Membership Management

  • Manage membership applications, approvals and renewals.
  • Oversee maintenance of the membership register, discussion list, contact database and website.
  • Contribute to the development of strategies to increase and service PAC Australia’s membership.
