Your new role
The Managing Executive Assistant provides professional support to the Chief Operating Officer (COO) and also oversees the Fund Services Admin Team consisting of 6 Team Coordinators. This position encompasses all facets of an Executive Assistant role, as well as leadership and the smooth administration of key activities within Fund Services.
This position is available on a 14 month contract to cover whilst our current Managing EA is on parental leave.
What you'll be doing
- Providing one on one support to the COO, assisting with calendar management, the organisation of meetings and video calls as well as organising domestic and international travel arrangements on a regular basis.
- Assisting the COO with additional administrative support including matters such as: inbox management, expense management, coordination of documents for signing and drafting communications to various areas within AustralianSuper.
- Coordinating the arrangements for the Finance and Audit Committee meetings throughout the year including the preparation of agendas, collation of materials and distribution to relevant committee members and stakeholders.
- Supporting the COO with his oversight of the Fund Services Leadership Team by scheduling meetings, off-site events and workshops for the team as required.
- Keeping track of the COO's deliverables to ensure that deadlines are met.
- Leading an admin team consisting of 6 Team Coordinators within the Fund Services domain.
- Managing the event planning for the annual Global Investment Technology & Operations Symposium with the support of the GITOS Council ensuring regular communications are provided to our global participants in a timely manner throughout the year. (This includes attending & coordinating the 4-day event in early October at Stanford University in California, USA).
What you'll need
- Experience providing professional and administrative support at a senior level.
- Advanced knowledge of Microsoft Word, PowerPoint, Excel and Outlook.
- Excellent interpersonal and communication skills and the ability to work effectively with a range of people at all levels.
- Demonstrated ability to work under pressure, manage multiple conflicting priorities and meet specified deadlines.
- Demonstrated ability to maintain a high level of confidentiality.
- Demonstrated ability to manage a senior executive office, coordinate tasks, set priorities and operate independently.
- Exceptional attention to detail.
