We are looking for an experienced office administrator to support the day-to-day operations of our expanding Medical Affairs Consultancy. This role is crucial in supporting the day-to-day operations of our business, enhancing administrative processes, and contributing to the success of our projects. You will ensure the smooth running of our operations, from finance and quality management procedures to efficient communication with stakeholders, and from enhancing operational efficiency to supporting our people and culture initiatives.
Location: Melbourne (Flexible Work Options Available, WFH)
Role Responsibilities:
- Process Coordination and Optimization: Streamline operations for enhanced efficiency. Identify and implement process improvements.
- IT Support: Provide basic IT support, troubleshooting minor technology issues, and coordinating with IT services when necessary.
- Communication: Ensure effective team communication for smooth workflows and project coordination.
- Administrative and Operational Support: Manage schedules, organise meetings, help prepare presentations, and handle routine administrative tasks. Manage logistics for meetings/events, reconcile supplier invoices, and handle mail. Oversee equipment and facility needs
- Documentation and Reporting: Maintain operational documentation and produce reports for management. Ensure quality compliance.
- Project and Client Support: Facilitate the successful completion of projects by providing thorough support. Address client inquiries in collaboration with project managers to ensure satisfaction.
- Quality Management: Oversee quality control processes, conduct checks, and identify improvement opportunities.
- People and Culture: Promote and coordinate initiatives, assist with on boarding of new staff, and organise team activities.
Financial Administration:
- Support financial processes, including invoicing, payments, expense tracking, and budget management.
- Assist in the preparation of financial reports and analysis for management review.
- Collaborate with the team to ensure accuracy and compliance with financial policies & procedures.
Your Qualifications & Skills:
- Experience in business administration, operations management, or a related field.
- Bachelor’s degree or relevant qualification (preferred).
- Strong organisational skills and the ability to coordinate multiple activities.
- Excellent communication, interpersonal skills, and detail-oriented focus.
- Proficiency in Microsoft Office and basic IT troubleshooting.
- Knowledge of office administrative procedures and experience with accounts and invoicing.
- Familiarity with medical affairs is a plus
- Australian Permanent Resident or Citizen.
