ABOUT THE ROLEReporting to the Contract, Compliance & Partnership Manager; you will be responsible for ensuring contracts are executed and filed, and support establishing processes to uplift contract administration and lifecycle management. This is a 14 month contract to commence in early April, where we are open to this role being full-time or part-time (22.8 hours). Located in Chatswood we offer hybrid working and a great collaborative culture.
Key Responsibilities:• Co-ordinate the execution of a high volume of contracts by directors, executives and the General Counsel, including ensuring that contracts are correctly executed in accordance with company policy and tracked through the execution process.• Update contract databases as new contracts are executed, and occasionally file hard-copy contracts such as property deeds.• Maintain access permissions on contract databases. • Assist the Contract, Compliance & Partnership Manager with contract management of large customer and other counterparty contracts, including preparing documentation for customer/counterparty governance meetings, assisting with serving and responding to contract notices, assisting with tracking contract obligations and accountability matrices.• Review statements of work and commercial terms on BAI standard terms and provide feedback to Procurement and commercial teams.• Assist with updating and improving precedent contracts.• Create Non-Disclosure Agreements (NDAs), where these are instigated by the Legal team. • Assist the lawyers with responding to regulatory investigations or other legal processes that require BAI to collate and provide contract information.• Review new supplier contracts to confirm that they conform with internal requirements (e.g. required insurances are in place), and assist with improving processes so that this process can be completed without Legal Team involvement.• Support continuous improvement of contract creation, execution and filing practices and processes. • Provide support to the Contract, Compliance & Partnership Manager on pre and post-contractual administration and management • Assist the lawyers to format large/complex contract documents.• Work to a high level of customer service, build relationships with stakeholders and prioritise effectively, while maintaining strict confidentiality.
ABOUT YOU• A minimum of 2 years contract administration and/or contract management experience• Highly effective written and verbal communication skills• Expertise in MS Office (Outlook, Word, Excel and Powerpoint) with a focus on MS Word for contract formatting.• Experience using DocuSign with ability to extend envelopes will be well regarded • Strong attention to detail and a customer service mindset• Basic understanding of contract frameworks, supply chains and commercial terms
