About This Opportunity
The primary purpose of this position is to coordinate the Faculty’s Academic Administration functions to ensure delivery of high quality administrative services. The Coordinator works closely with a wide range of stakeholders, both within the Faculty and more broadly in the UQ community. The Coordinator supports the Manager and Senior Manager, Academic Services and the Associate Dean (Academic) in the efficient operation of the Faculty’s academic administrative functions.
The role is responsible for the supervision of a HEW 5 Academic Administration Officer.
Key responsibilities will include:
Provide high level administrative assistance to other staff in relation to effectively managing routine and complex academic administrative cases.
Develop and maintain specialist knowledge of Academic related University rules, policies, procedures and provide written and oral advice to students and Faculty/School staff as required.
Provide high level service and use of Curriculum Management System and PeopleSoft (SI-net) systems.
Manage the secretariat duties associated with Board of Studies and Teaching and Learning committees for the EAIT Faculty.
Liaise with the Associate Dean (Academic) and Manager, Student and Academic Administration on matters relating to program rules and requirements.
Work collaboratively with Faculty and School staff to provide assistance and advice on managing program rules and requirements.
Review academic administrative functions and workflows through consultation with School and Faculty teams, to ensure action of academic administrative tasks.
Manage surveillance reports for EAIT courses and programs and contact students with accurate and timely advice relating to their enrolment and program requirements.
Complete other work as required by the Manager, Student and Academic Administration
Represent the Faculty at TSXPO, UQ Open Day and related promotional and recruitment activities and exhibitions.
Leadership
Supervise, mentor and provide training to HEW 5 Academic Administration Officer.
This role requires Supervisor Capabilities from UQ's Leadership and Management Framework.
Full time (100%), permanent position at an HEW level 6.
The full-time equivalent base salary will be in the range $86,371.95 - $92,658.90, plus a generous super allowance of up to 17%. The total FTE package will be up to $101,055.18 - $108,410.91 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.
About You
A degree with relevant experience; or extensive experience in academic or student administration; or an equivalent combination of relevant experience and/or education/training.
Excellent written communication skills and effective interpersonal and verbal communication skills.
Well-developed analytical skills (including interpreting complex guidelines and procedures) and excellent attention to detail.
Demonstrated knowledge of curriculum management systems or the ability to quickly acquire relevant knowledge.
Proficient use of Microsoft office suite.
Demonstrate leadership of student and Academic Administration functions and teams to deliver high quality service to students.
Demonstrate capacity to gain knowledge of higher education policies and procedures in relation to Academic Administration.
Ability to work cooperatively and constructively with staff from within a variety of settings from within the University and external to the University.
