Event Coordinator
Place of Work: Reservoir, Melbourne.
Hours: Full time – Monday to Friday and occasional event work when required.
Scope and General Purpose: Reporting to the operations manager & company Directors, this position focuses on the coordination and execution of events, food truck allocations, function bookings as well as office duties including enquiries. For a two-year contract
Responsible to: Operations manager.
Liaises with: Senior Management, Marketing, Food Truck Owners and Customers.
Main Duties:
Where the truck at & Australian Mobile Food Vendors Group is looking for a confident, enthusiastic and hardworking Event Coordinator to join our team. The focus of this role is to coordinate food truck events for our venue and functions, food truck allocations, interact and liaise with members, function bookings as well as office duties including enquiries.
To be successful in this position you must excel at juggling priorities, have strong time management skills strive to meet all deadlines and be a great project manager. You will bring a passion for event management and member retention, lots of energy and enjoy speaking to lots of people. You will be the point of contact for all food truck members. You must be a team player who enjoys working in a close knit, successful team.
Tasks Include:
Duties will include;
-Office administration
-Liaising with key stakeholders and suppliers
-Creating event schedules for food truck entertainment and market stalls.
-Creating run-sheets and event document in our CMS for the onsite operation team
-Keeping details record of vendor communication and documents via CMS
-Assisting the team in sourcing, approving and appointing new members
-Assisting marketing in promoting events and passing promotion details to vendors
-Managing incoming function and event enquires, allocate event duties to assistant event- coordinators.
-Monitoring the website and directing updates when necessary
-Manage event applications and allocations
-Complete bookings and placements for food trucks at events
-Liaising with food truck owners – email, phone and in person
-Manage function bookings at our venue's
-Use CMS to enter event operators
-General enquiries from customers and members
-Preparing on site documentation
-Enter Foodtrader council permits
-Answering phone calls and passing on enquiries
-Management of rosters trucks including briefing the site managers and marketing manager on ECS locations
-Submitting event applications to trade at external events
-Additional ad hoc duties
Desired Candidate:
-Tertiary education – Events, or hospitality management
-Has excellent verbal and written communication skills
-Confident and personable demeanour
-Own car and transport
-Tertiary qualification in events management, or appropriate 2+ years’ experience
-The ability to multitask with a high attention to detail
-Organisational skills with the ability to manage competing priorities
-Strong computer skills with Microsoft Office and experience in Mail Chimp and WordPress preferred
-Ability to work constructively in a small team, supporting team members whilst taking responsibility for organising your own work
-Personable, professional, energetic and possessing excellent customer service skills
Required experience: Events experience – 2 year minimum
Required license or certification: Driver's License and own car.
