Support the Director with administrative/organisational tasks and project co-ordination. You will serve as a trusted partner, ensuring smooth and efficient operations in a varied and interesting role.
Role responsibilities:- Project coordination: Support executive coordinate and manage special projects, initiatives, and events; collaborate with other team members to ensure the successful completion of projects; prioritises conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Calendar and schedule management: Coordinate and manage the schedules, including arranging meetings and appointments; coordinate all travel, accommodation, retail conferences, and itineraries, and travel arrangements; prioritise and schedule events while considering their availability and commitments.
- Communication and correspondence: Assist with the management of incoming emails, calls, and messages; draft and prepare correspondences, memos, PowerPoint presentations, and reports; maintain communication channels with internal and external stakeholders; format information for internal and external communication – memos, emails, presentations, reports.
- Meeting facilitation: Organise, prepare agendas, and take minutes for meetings attended by the MD; coordinate logistics, including venue, equipment, and refreshments; follow up on action items and ensure timely completion.
- Information management: Gather, organise, and maintain all files including all confidential and sensitive information, documents, and records related to the company’s activities; ensure easy accessibility and retrieval of information as needed.
- Relationship management: Build and maintain positive relationships with internal and external stakeholders, such as senior executives, clients, and external partners; serve as a point of contact for inquiries and requests.
- Confidentiality and discretion: Handle sensitive and confidential information with utmost professionalism and maintain a high level of discretion.
- Miscellaneous tasks: Handle miscellaneous tasks as assigned, which may include, expense management and other administrative duties.
- Relevant experience providing executive, secretarial, and administrative support (preferred)
- Ability to provide comprehensive support to senior and executive level stakeholders within a cross-functional organisational environment

- A high degree of initiative, a high level of flexibility and enjoy working within a fast-paced environment
- Highly developed organisational and time management skills including meticulous attention to detail
- Loyal and demonstrating a high level of confidentiality
- Exceptional computer literacy in MS Word, PowerPoint and Excel.
