Halcyon Knights is seeking an experienced and dedicated Executive Assistant for state government department based in Adelaide.
ABOUT THE ROLE
As the Executive Assistant to the Director, you'll play a pivotal role in ensuring the smooth operation of the department by providing comprehensive administrative support.
Your responsibilities will include:
- Calendar Management: Efficiently manage the director's schedule, including scheduling meetings, appointments, and travel arrangements.
- Communication: Serve as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence with professionalism and discretion.
- Documentation: Prepare and edit reports, presentations, and other documents, ensuring accuracy and adherence to departmental standards.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, recording minutes, and following up on action items.
- Project Support: Assist in the coordination and execution of departmental projects, including research, data analysis, and collaboration with team members.
- Office Management: Manage office logistics, including maintaining supplies, coordinating equipment maintenance, and overseeing office organization.
- Ad Hoc Support: Provide additional support to the director as needed, including handling special projects and tasks with efficiency and attention to detail.
- Proven experience as an Executive Assistant supporting senior executives in a fast-paced environment.
- Exceptional organizational skills with the ability to prioritize tasks and manage competing priorities effectively.
- Strong written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
- Meticulous attention to detail and a commitment to delivering high-quality work under tight deadlines.
- Ability to handle sensitive information with confidentiality and discretion.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to thrive in a fast-paced and ever-changing environment, with a proactive and adaptable approach.
- Current Police Clearence or willing to obtain one
- Previous government experience is desireable
