About the Role
We are currently seeking an Executive Assistant to work in the Executive Assistant POD team supporting our North Injuries Leadership Team on a full-time basis. You will possess a high degree of initiative, a proven ability to handle pressure and conflicting priorities, strong organisational and time management skills, and tact and diplomacy capabilities. This position will be based in our Brisbane CBD Office with hybrid working arrangements.
Key Responsibilities
Providing confidential administrative assistance to the North Injuries Leadership Team with a strong focus on executive diary and travel management.
You will also have the skills to:
- Assist the North Injuries Leadership Team to coordinate events including bookings and catering;
- Attend meetings taking minutes and actions including agenda preparation and coordination/follow up;
- Assist in managing practice area's risk functions and escalate where appropriate;
- Administer Amex and Visa reconciliations and cash expenses;
- Build and manage relationships with key stakeholders within the firm as well as external stakeholders;
- Work collaboratively with the other Executive Legal Assistants within the Executive team and Executives across the business; and
- Provide excellent client service at all times.
- Previous experience as a Personal or Executive Assistant is preferred (of varying degrees)
- Diary management experience of a senior leader or executive
- The ability to think strategically in order to forward plan and monitor future priorities;
- Proven success in developing strategies and plans to manage email accounts and calendars;
- A high competency in Microsoft Office;
- Well-developed communication skills (written, oral and interpersonal) and the ability to liaise effectively with internal and external stakeholders;
- Excellent organisational skills with the ability to multi-task and work independently to plan, coordinate and organise projects;
- Outstanding customer service attributes that include a professional image, customer service focus, active listening skills and sound negotiation skills; and
- The ability to handle and uphold confidential matters with maturity and common sense.
