ABOUT THE ROLE
We're looking for an Executive Assistant to join the Commonfolk team and play a pivotal role in providing exceptional administrative and organisational support to the Executive Team, ensuring seamless communication, efficient workflow, and effective time management to meet and support business needs and success.
This full-time position offers an exciting opportunity to work closely with the General Manager, contribute to organisational success, and thrive in a fast-paced environment. You will be a part of a successful team that pushes the boundaries of what it means to be an independent company in the Australian Music Industry and the excitement that comes along with upcoming music/book releases, tours, and everything in between.
KEY RESPONSIBILITIES
- Provide administrative support, including managing emails, calendars, meetings, and artist schedules.
- Facilitating effective communication between our internal team and external communications with partners/stakeholders.
- Organise company events and trips, including arranging travel, accommodation, catering, and venues.
- Prepare and edit correspondence, reports, presentations, meeting agendas, and minutes.
- Maintain and manage online systems and files.
- Provide ad hoc support to various departments and office management.
REQUIREMENTS
- Music industry experience or proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives.
- Exceptional verbal and written communication skills, with the proficiency to communicate at all organisational levels and with company partners.
- Excellent organisational skills and meticulous attention to detail.
- Must possess strong critical thinking attributes
- High degree of initiative and proactive in anticipating the needs of the General Manager and Executive Team.
- Discretion and integrity in handling confidential information.
- Advanced time management skills, capable of managing multiple priorities and adhering to tight deadlines.
- Ability to thrive in a fast-paced and dynamic work environment.
- Strong administrative and spreadsheet skills with knowledge of MS Office and Google Suite products.
- Eagerness to expand knowledge within the music and book publishing industries.
