Role and Responsibilities:
This role is critical to the running of the Toorak College Early Learning Centre and Junior School - affectionately known as “Wardle House”. As the first point of contact for enquiries on behalf of the Deputy Principal, Head of Junior School, this role will meet and greet visitors and develop and maintain strong relationships with staff, parents and students.
Specific tasks include:
- Administrative Support: Provide high-level administrative assistance to the Deputy Principal, Head of Junior School, including calendar management, meeting coordination and facilitation (agendas, minute taking), email and phone calls.
- Communication: Act as a liaison between the Junior School and the broader school community in the preparation of announcements, publications, staff and Junior School student communication.
- Document Management: Assist in researching, preparing, proofreading, and editing documents, reports, and presentations.
- Assist with records management, including the accurate recording of Student Awards and preparing Risk assessments for excursions.
- School Events - assist the Deputy Principal, Head of Junior School with weekly school Assemblies, coordinating school events and functions and managing the School Master Calendar.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality in all aspects of the role.
Please note that this position has an entitlement to 5 weeks Annual Leave, therefore work is expected during school holiday periods.
About You
- Proven experience as an Executive Assistant or in a similar role, preferably in a school environment
- Outstanding digital literacy skills
- Exceptional organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Google Suite and other relevant software.
- Ability to work independently and collaboratively in a fast-paced environment.
