About the role
You will provide high-level executive support to two Executive Directors enabling them to focus on their core purpose. You will triage requests and other matters to identify the level of urgency, risk and confidentiality ensuring appropriate action is taken. As part of a close-knit team, you will also support colleagues with ad-hoc projects.
Your Executive Directors are responsible for Finance & Corporate Services and People & Culture.
Duties
- Provide high level administrative and executive support including managing diaries, coordination of meetings and travel; email and correspondence; and project support.
- Evaluate information, data and situations to identify level of urgency, risk, confidentiality and sensitivity, ensuring the most appropriate action is identified, directed to the correct person to address and matters are escalated to appropriate individual in appropriate timeframes.
- Effective and accurate monitoring and maintenance of records, systems, processes and databases to ensure information is managed efficiently, stored securely and readily accessible.
- Support the administration team to establish administration processes and services across national office to enable services to be delivered to functional areas in a timely and effective way.
- Provide support and relief when other Executive Assistants or administration staff are on leave or during busy periods.

Skills and Experience
We want you to be successful in your new role! This means you’ll have the following:
- Demonstrated experience in a similar role within a complex organisation.
- Strong communication and interpersonal skills.
- Ability to use a range of software applications including MS Office, MS Outlook, MS Teams, Adobe Acrobat and customer databases.
- Proactive, goal-oriented mindset with keen attention to detail.
- Demonstrated time management and organisational abilities.
- A way of working that incorporates a strong collaborative mindset with other EA’s and administrative support roles.
- Cultural alignment, including being down-to-earth, confident in communication, adaptable to a dynamic environment, and highly resilient.
- Working knowledge of government and NGO structures, processes, and cultures is advantageous.
