About the role:

The Executive Assistant/HR Administrator is a multi-function role supporting the Group Investor Relations Director, APAC President and APAC Executive team (based nationally) and supporting the APAC HR Director with human resources administration tasks. 

The Executive Assistant acts as the key point of contact amongst executives, employees, clients and other external partners and ensures the business runs smoothly by providing direct high-end clerical and administrative support.  

The HR Administrator responsibilities assist with the day-to-day operations of the HR department including clerical and administrative support to the APAC HR Director, compiling and updating records, assistance with recruitment and records management as well as providing project and clerical support to the HR team. 

The Sydney office is a small but dynamic location and is the headquarters for the APAC Region, this a stimulating, high-energy and flexible role.

What you will need to do:

  • Administrative support to the APAC President, Group Investor Relations Director and APAC HR Director (all based in the Sydney office) and national executive team as required
  • Handling incoming and outgoing communications
  • Organising the executive calendars
  • Travel and accommodation arrangements 
  • Expense / receipt management and processing
  • Creating presentations and reports, taking minutes
  • Organising and supporting events – hosted in Surry Hills office or other sites as required
  • Assist with day-to-day operations and duties of the HR team
  • Provide clerical and administrative support to APAC HR Director
  • Compile and update employee records as required
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
  • Coordinate HR projects (meetings, training, surveys etc) and take minutes
  • Deal with employee requests regarding human resources issues, rules and regulations
  • Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc)
  • Coordinate communication with candidates and schedule interviews during recruitment processes

About you:

  • Certification in Business (Administration) and/or Human Resource Management is an advantage
  • Advanced skills in Powerpoint
  • Basic knowledge of employment legislation
  • Hands on experience with an HRIS (an advantage)
  • Comfortable liaising with people at all levels within the business
  • Executes tasks efficiently and accurately under pressure
  • Ability to problem solve, identify issues and execute resolutions in a timely manner
  • Ability to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyse information
  • Can prioritise and plan work activities as to use time efficiently
  • Organised, accurate, thorough and conscious about quality
  • Dependable, able to follow instructions, respond to management direction and be able to improve performance through management feedback
  • Comfortable with reasonable levels of communication outside of normal business hours to support the needs of a global business, operating across multiple time zones
